Job Title: Plumbing Administrator
Job Description:
All Year Cooling and Plumbing is seeking a detail-oriented and organized Plumbing Administrator to join our team. As a Plumbing Administrator you will report directly to the Plumbing Division Operations Manager and serve as a key support role in ensuring smooth plumbing operations. You will be responsible for administrative coordination customer service support and operational efficiency to help deliver exceptional plumbing services to our valued customers across South Florida and the Gulf Coast including the Naples area. Your organizational skills and attention to detail will be essential in supporting the growth and success of our plumbing division.
Responsibilities and Duties: Assist with leads input and management (working toward our eventual goal of a dedicated plumbing dispatcher) Coordinate and manage scheduling of all jobs once contracts are signed by plumbers and sales team Assist with Service Titan jobs workflow compliance and system management Provide customer service resolution for low-level plumbing-related customer concerns and inquiries Coordinate with staff to manage parts lists for upcoming scheduled jobs Maintain accurate records of service calls job schedules and customer communications Support the Plumbing Division Operations Manager with administrative tasks and reporting Process work orders and ensure proper documentation is completed for all jobs Coordinate communication between plumbers sales team and customers regarding scheduling changes Assist with invoicing and billing processes related to plumbing services Monitor job progress and follow up on completed work for customer satisfaction Maintain filing systems and ensure proper documentation for warranty and service records Collaborate with dispatchers customer service representatives and other administrative staff Assist with inventory tracking and coordination of parts and materials Handle routine correspondence and communication with customers and vendors
Qualifications: Proven experience in administrative or customer service roles preferably in the service industry Strong organizational and time management skills with attention to detail Proficiency in computer systems and software including scheduling and CRM platforms Experience with Service Titan or similar field service management software preferred Excellent communication skills both written and verbal Strong customer service orientation with problem-solving abilities Ability to multitask and prioritize responsibilities in a fast-paced environment Professional phone manner and interpersonal skills High school diploma or equivalent required; additional administrative training preferred Ability to work collaboratively with team members at all levels Reliable and punctual with strong work ethic Must be able to pass a background check and drug screening
