Job Summary:

Join the University Housing Facilities Team as a Facilities Coordinator! We are looking for an experienced customer-focused professional to join our Housing Facilities team.

This position supports the Housing Facilities Office and staff in the position oversees the Housing Facilities Office operations completes building and apartment inspections manages resident damage billing assists with workload balancing and provides customer service to residents students staff and contractors.

We are a fast-paced organization coordinating work in and around resident homes. The individual hired for this position will play a key role in coordinating scheduled maintenance services overseeing daily operations of the Facilities Office and supporting building inspections and reporting. Strong attention to detail clear communication and the ability to manage tasks across multiple systems and teams are essential.

Work Schedule:

  • The primary schedule for this position is Monday through Friday between the hours of 7:00am 4:30pm.
  • Work schedule will be set with selected finalist(s) at alterations as operations and position expectations demand.

Key Job Responsibilities:

  • Coordinates scheduled mechanical and electrical services within an area of responsibility administering preventive maintenance programs for facilities inspecting facilities to determine repair or replacement needs and supervising the performance of emergency and routine maintenance on campus facilities within the area of responsibility
  • Prepares reports of building findings with recommendations to address identified maintenance or facility improvement issues
  • Coordinates the maintenance of protection systems such as fire panels smoke/heat detectors sprinkler systems and pumps in accordance with regulatory requirements and industry standards including ensuring emergency generators/power systems rigging systems and elevators are properly maintained in accordance with industry standards and are operational at all times
  • Budgets and monitors costs involved with services including waster services recycling management and maintenance groups
  • May supervise student staff including responsibilities for interviewing hiring training task delegation performance evaluation and disciplinary action.

  • Ensures that the work performance of employees in the area of responsibility and maintenance zones or sections as a whole meet standards and expectations
  • Oversees daily operations of the Housing Facilities office including administrative support; manages computerized maintenance management system to ensure accurate data entry effective scheduling and timely issue resolution; delivers responsive and professional customer service via phone and email to both internal and external stakeholders.

  • Ensures buildings are maintained by touring the common areas/public spaces tracking and identifying needed repairs and communicating with building managers and department administrators

University Housing Facilities is a part of the Division of University Housing at the University of Wisconsin-Madison and focuses on building services mechanical maintenance and long-term infrastructure projects and planning. As a student service organization University Housing Facilitiesprovides quality living/learning environments to approximately 8000 undergraduate student residents during the academic year and 18000 guests in the summer months. Additionally they serve the University Apartments community which is approximately 3000 residents in 1240 apartments on 83 acres. The University Apartments Community also includes a large Community Center and a University Housing-operated licensed early childhood education program.

University Residence Halls consists of 30 buildings containing approximately 2 million square feet and 37 acres of surrounding addition to residential living spaces the residence hall infrastructure supports many functions and programs requiring many types of spaces such as classrooms office space dining and culinary space including commercial kitchens and marketplace areas mechanical support spaces and large meeting rooms.

Compensation:

The starting hourly wage is $26.45 or higher based on qualifications with a competitive retirement and benefits package including vacation holidays and paid time off. Benefits information can be found at Qualifications:
