    Position Summary

    The Advancement Associate supports the Advancement Director and Principal in the execution of the schools advancement development and community engagement strategies. This position plays a key role in donor stewardship event coordination communications and advancement operations including administrative and logistical support for OLLs feasibility study and upcoming capital campaign.

    This is a temporary position designed to provide capacity through the capital campaign planning and implementation period with the potential to continue beyond the campaign pending funding and organizational needs. The ideal candidate is highly organized detail-oriented and mission-driven with strong interpersonal and communication skills.

    Key Responsibilities

    Development & Stewardship

    • Support all aspects of annual giving major gifts and capital campaign initiatives.

    • Maintain donor and constituent data accurately in the advancement database (Little Green Light).

    • Prepare acknowledgment letters receipts and recognition reports

    • Assist with donor research tracking and stewardship communications

    • Generate mailing lists reports and donor analytics as needed.

    Capital Campaign & Feasibility Study Support

    • Partner with the Principal Advancement Director and external consultants to support the feasibility study and capital campaign planning process.

    • Manage data entry scheduling and coordination of interviews meetings and follow-up communications.

    • Prepare and maintain campaign materials timelines and reports.

    • Assist with donor communications meeting logistics and event planning related to campaign activities.

    • Provide administrative support to consultants leadership committees and volunteer teams.

    Events & Community Engagement

    • Support planning and logistics for advancement events such donor events and Capital Campaign kickoff events.

    • Coordinate volunteer communication recruitment and scheduling.

    • Provide on-site event assistance including setup check-in and teardown.

    Marketing & Communications

    • Collaborate with the Advancement and Marketing teams to produce donor-facing communications such as newsletters social media posts and thank-you spotlights.

    • Assist in creating and editing materials that tell OLLs story and highlight mission impact.

    • Maintain and update advancement-related website content and collateral.

    Administrative Support

    • Track invoices reimbursements and advancement budgets in coordination with the Business Office.

    • Maintain organized files and digital records.

    • Schedule meetings manage calendars and coordinate with consultants vendors and parish partners.

    Qualifications

    • Bachelors degree or equivalent experience in nonprofit management communications or related field.

    • Minimum of 2 years of experience in advancement fundraising or event coordination (school or nonprofit setting preferred).

    • Proficiency with Google Workspace and donor database systems (Little Green Light Raisers Edge etc.).

    • Strong attention to detail and ability to manage multiple priorities.

    • Excellent written and verbal communication skills.

    • Collaborative flexible and able to maintain confidentiality.

    • Commitment to the mission and values of Catholic education.

    • Willingness to work occasional evenings or weekends for special events.

    Compensation & Benefits

    • Part-time 0.5 FTE (approximately 20 hours/week)

    • Hourlyrange is $25 - $28Any offered salary is determined based on internal equity internal salary ranges market data applicants skills and prior relevant experience degrees and certifications.

    • Benefits include paid holidays sick leave and partial tuition discount for enrolled students (if applicable)

    • Temporary position through the capital campaign phase with potential continuation based on funding and organizational needs
