COMPENSATION: $43000/annual

POSITION OVERVIEW:

Under the supervision of the Associate Director of Graduate Admissions the Graduate Admissions Coordinator will be responsible for processing a high volume of prospective student inquiries applications and applicant materials to the colleges graduate programs. Other duties including but not limited to answering inquiries received by phone and email; tracking applications and applicant data for review and responding to applicant questions; and assisting in the daily operations of the Admissions Office by providing general office support.

DUTIES AND RESPONSIBILITIES:

  • Input graduate applications and materials into the Colleges Salesforce CRM software and Colleague software database.
  • Manage develop and maintain prospective student records.
  • Perform other data entry and data cleansing tasks related to Graduate Admissions.
  • Answer inquiries received by phone and in the general Graduate Admissions email account.
  • Provide support to applicants throughout the application and enrollment process.
  • Correspond about prospective students applicants or enrolled students with staff from Graduate Departments the International Student Office and the Registrar.
  • Meet and greet visitors to the processing office and receive all incoming mail and deliveries.
  • Track and complete all graduate applications in preparation for committee review.
  • Assist in the daily operations of the Admissions Office including general office support such as filing photocopying mailing projects data entry and digital imaging/archiving of enrolled student files.
  • Input and maintain records of attendees to various promotional events such as Graduate Information Sessions campus tours and Portfolio Days.
  • Attend and assist with in-person and virtual Graduate recruitment and orientation events.
  • Attend and assist with in-person Undergraduate events such as Open Houses New York Portfolio Day and SVAs Accepted Students Day.
  • Assist with the training and supervision of temporary workers.
  • Track ongoing processing changes and update the Admissions Processing wiki.
  • Perform other job-related duties as assigned.

MINIMUM QUALIFICATIONS:

  • Bachelors degree.
  • Computer skill proficiency in MS Suite (Word Excel PowerPoint) and Google Suite

PREFERRED QUALIFICATION:

  • Degree in art design or a related field(s) is preferred
  • Strong interest in visual art and design
  • College administrative/advisement background. preferred

  • Knowledge of best practices and procedures of a graduate admissions coordinator.
  • Knowledge of the overall goals of higher education in an admissions setting including the understanding of degree requirements academic calendars and program prerequisites.
  • Knowledge of inclusive recruitment practices and equitable evaluation processes.
  • Knowledge of best practices in student engagement advising and retention.
  • Skill in verbal written and interpersonal communications to effectively interact with students parents faculty staff and other stakeholders.
  • Skill in data entry.
  • Skill in using computers and in learning new software applications and programs.
  • Skill in problem-solving and attention to detail.
  • Skill in planning and organizing.
  • Ability to manage multiple tasks prioritize and meet set deadlines.
  • Ability to collaboratively interact and work as a member of a team.
  • Ability to correspond professionally with applicants faculty and internal departments.
  • Ability to accurately input track and report admissions data for analysis or accreditation.
  • Ability to handle sensitive applicant data with discretion.
  • Ability to work with frequent interruptions and to adapt to changing priorities respond flexibly to new systems policy updates and program needs.
  • Ability to resolve problems or situations requiring the exercise of good judgment
  • Ability to communicate effectively with diverse populations.

  • Ability to establish and maintain good working relationships with staff and faculty

PHYSICAL REQUIREMENTS OR WORKING CONDITIONS:

  • Full-time schedule (35 hrs per week) Monday- Friday 9 am-5 pm EST. Non-exempt. hourly (eligible for overtime)
  • Location: 342 E. 24th Street NYC NY
  • On-site and Hybrid schedule - 2 days remote and 3 days in the office
  • Employees are required to be fully on-site at the start of their employment - eligibility for hybrid work arrangements will be subject to management approval
  • Willingness to work evenings and weekends as office needs dictate.
  • While working remotely you will be required to maintain the same hours of work as would be performed in the office; follow the departments procedures in completing assigned job tasks; and be available during the employees working hours via the departments established communication methods (i.e. Google chat Slack phone etc.)
  • Ability to move between offices meeting rooms and event spaces within the campus or building.
  • Occasionally required to lift or carry materials up to 25 pounds (such as boxes of brochures or event supplies).
