Key Responsibilities:
1. Executive Support
- Manage and maintain the MDs calendar appointments meetings and travel itineraries (domestic & international).
- Act as the first point of contact for all internal and external communications addressed to the MDs office.
- Screen emails correspondence and phone calls; prioritize and respond where appropriate.
- Prepare and organize documents reports presentations and confidential files for management review.
- Ensure timely follow-up on tasks commitments and correspondence.
2. Coordination & Communication
- Coordinate with departmental heads clients and external partners on behalf of the MD.
- Maintain effective communication between the MDs office and internal departments to ensure smooth information flow.
- Schedule and organize leadership meetings board meetings and review sessions including agenda preparation and minutes recording.
3. Administrative Management
- Handle confidential information with integrity and discretion.
- Manage travel arrangements accommodation and logistics for official events and meetings.
- Track and manage expense reports reimbursements and other administrative documentation related to the MDs office.
- Ensure all office documents approvals and communications are properly documented and filed.
4. Strategic and Business Support
- Assist in preparing business summaries data analysis and reports required by the MD for decision-making.
- Conduct basic research and provide relevant updates on industry trends competitors and market developments.
- Support special assignments confidential projects and follow-up actions as directed by the MD.
5. Professional Conduct
- Maintain a high degree of professionalism punctuality and confidentiality at all times.
- Represent the MDs office in a courteous organized and efficient manner.
- Build and maintain positive working relationships with senior stakeholders and external clients.
