What will I be doing
The Residential Administrator is responsible for supporting the daily operations and administrative functions of the Waldorf Astoria Residences New York. This role provides comprehensive assistance to the Residential Leadership Team to ensure the seamless management of the property and the delivery of exceptional resident addition to administrative duties the Residential Administrator will serve as the receptionist and first point of contact for the management office greeting residents guests and vendors with professionalism poise and warmth. The ideal candidate demonstrates exceptional organizational skills polished communication and a commitment to upholding the Waldorf Astorias legacy of refined service and luxury living. As a Residential Administrator you will play an integral role in supporting the operational and administrative excellence of the Waldorf Astoria Residences New York. Specifically you will:
Serve as the first point of contact for the Management Office warmly welcoming and screening all visitors residents and vendors while maintaining an organized and polished reception area.
Answer and direct incoming calls for the Residences Department; determine priority resolve inquiries independently when appropriate and relay accurate messages promptly.
Provide comprehensive administrative support to the Director of Residences Assistant Director of Residences and Assistant Director of Finance Residential including calendar management correspondence and general office organization.
Manage a range of administrative processes including copying scanning filing processing lease sale decoration and alteration applications preparing resident communications and assisting with amenity reservations payments and compliance tracking.
Maintain accurate resident owner and tenant records ensuring all documentation and databases (Yardi BuildingLink etc.) are current and properly organized.
Receive sort and distribute all incoming mail and deliveries (USPS UPS FedEx and interoffice).
Assist residents with inquiries and concerns including billing payments and general service-related requests ensuring prompt and courteous resolution.
Coordinate and schedule meetings with prospective buyers brokers and attorneys; process building questionnaires and distribute insurance certificates as needed.
Manage office inventory and place periodic orders for supplies.
Coordinate the collection and routing of Board-related documents for required signatures.
Assist with property tours for residents ownership representatives and Hilton Corporate visitors.
Attend management meetings record and maintain meeting minutes and follow up on assigned action items.
Report all suspicious persons or activities hazardous conditions etc. to the Safety/Security Department.
Perform additional duties as assigned to support departmental operations and uphold the Waldorf Astoria standard of excellence.
