Job Title: Registrar Services Coordinator
Reporting Relationship: University Registrar
Unit: IWU-Marion
Department: Registrars Office
Campus Location: Maxwell Center - Marion IN
Summary of Position: The Registrar Services Coordinator provides broad support across all functional areas of the Registrars Office gaining experience in frontline work coordinating with other offices managing academic records ensuring compliance and providing general support. This role is designed to develop into a well-rounded team member who may advance into specialized roles within the office in the future.
Duties and Responsibilities
- Serve as a backup for Colleague-related processes such as building courses and programs
- Help process certificates diplomas and conferring degrees
- Understand the catalog from a technical perspective to support Catalog maintenance and updates
- Handling phone calls and email inquiries
- Assist in maintaining accurate student academic records including transcript notations exceptions and degree requirements
- Assist in filling out forms and processing grade and address change
- Contribute to catalog and coding updates as assigned
- Provide support to faculty through portal management communications and committee involvement
- Assist with major university events such as graduation
- Maintain procedure manuals and documentation for assigned functions
- Maintain professionalism and excellent customer service in all interactions with students parents faculty and staff
- Assist with the processing of forms document scanning and updating student records
- Research and process FERPA violations
- Process academic petitions
- Coordinate with other offices to process Subpoenas in a timely manner
- Support the transfer evaluation process and transcript processing
- Assist with purging and retention of academic records
- Engage in process improvement projects
- Learn graduation evaluation and certification processes
- Cross-train in multiple registrar functions to build capacity for future advancement
- Serve as a backup to the Assistant Registrar of Technology

Education - Masters degree preferred
- Bachelors degree or associates degree with equivalent work experience accepted
Experience - Proficiency with student information systems (e.g. Ellucian Colleague Banner Jenzabar) and Microsoft Office Suite
- Strong data entry and record-keeping skills with attention to accuracy and confidentiality
- Ability to analyze student record information and identify discrepancies or needed updates
- Experience generating and interpreting reports to support registration graduation or compliance functions
Required Skills - Ability to learn quickly and adapt to multiple systems and processes
- Strong analytical and problem-solving skills
- Excellent organizational skills and attention to detail
- Commitment to teamwork professionalism and confidentiality
