VISTA Technology Services Inc. (VISTA) is currently seeking a Administrative Support / Information Specialistto support a U.S. Trade and Development Agency (USTDA) Information Resource Center (IRC)customerreporting onsite 5 days a week in Arlington VA.
This position is contingent on contract award.
Responsibilities:
- Provide administrative clerical and document and office management support to USTDA IRCfront office records management and mailroom operations staff
- Review incomingcorrespondence prepare reports and maintain shared databases
- Assist with developing and implementing organizational and administrative management policies and procedures
- Support mailroom and copier areaoperations; ensure proper filing and documentation
- Support on-site meetings and provide conference room technical AV support
- Assist with onboarding/offboarding office supplies and routine communications
- Work independently andas part of a team and build strong working relationships with IRC staff senior officials and acrossUSTDAagency department staff and outside vendors as needed
- Strong time management to delivery high qualityservices with attention to detail
- Proactiveand effectively manage multiple tasks and deliver on schedule
Basic Qualifications:- Associates degree in business information management or relevant field required; Bachelors degree preferred (copies of all degrees is required)
- 5 years of administrative managementor related work experience
- Proficient using MS Office Suite (Outlook Word PowerPoint SharePoint)
- Experience with conference/meeting room AV systems and providing facilities support
- Strong coordination and customer service skills with senior officials and external guests
- Ability to multitask across facilities scheduling and IT systems
- Experience developing and implementing organizational and administrative management policies and procedures
- Experience providing training and technical assistance to staff
- Experience withinformation and records of FOIA and NARArequirements helpful
- Excellent written and verbal communication skills
- Experience providing on-site technical support troubleshooting issues with AV equipment during events such as microphone and monitor connectivity; presentations or visual material access
- Experience creating and editing audio-visual content such as presentations and videos
- Experience setting up conference board or training rooms
- Experience with other administrative services like office management building and facilities management human resources and/or security
- Ability to manage multiple tasks prioritize work and meet deadlines
- Ability to identify and resolve complex problems
- Physical ability to move and lift large number of files and/or file boxes
- Public Trust Tier 2 required. Must be able to obtain and maintain a secret clearance
