GENERAL DESCRIPTION:


The Wyoming Department of Corrections is seeking a detail-oriented and dependable Mailroom Clerk to provide mailroom services within a correctional institution. This position is responsible for performing the daily operations of the facilitys mailroom including sorting screening and distributing incoming and outgoing mail as well as handling computer-based administrative duties.

  • Process open and scan incoming and outgoing inmate mail to decrease the introduction of contraband by promoting the safety and security of staff inmates and the public and promoting the correctional facilitys good order.
  • Accurately receive money.
  • Handle contraband identification and processing.
  • Operates mailroom machinery and/or data center printers.
  • Train other employees on areas of expertise as needed.
  • Process and track outgoing inmate packages.
  • Primarily responsible for retrieving and delivering all mail to and from the Post Office including institutional mail.
  • Inform inmates and staff of changes within the Postal Service such as postage rates addressing international mail etc.; operation and maintenance of the postage meter
  • Record all incoming and outgoing legal mail and process regular mail as well as incoming inmate legal mail.
  • Coordinates mail activity with other areas by carefully scheduling delivery times and places keeping to a strict schedule that will not interfere with those activities necessary to maintain the good order and security of a correctional institution.
  • Operates mailroom machinery and/or data center printers.
  • Handles contamination biohazards etc. and signs for these when dealing with health labs etc.
  • Responsible for scanning for contraband and other items that are not allowed in facilities; processing inmate mail and staff; and retrieving and delivering all correspondence to and from the Post Office. And being in daily contact with felons.
  • Ensures that relevant information related to inmate management is identified flagged shared with appropriate staff and properly processed.
  • Gain information from PSI and social history; input into a database from the inmates immediate family members
  • Acts as the subject matter expert in a specific mailroom function including mail-related computer and database programs.
  • May act as the Mail Services Supervisor in their absence.
  • Responsible for ensuring a safe and enjoyable workplace including participation in initiatives designed to promote a positive work environment

Qualifications


PREFERENCES:


Preference may be given to applicants who have mailroom experience or who have worked in a correctional setting.


KNOWLEDGE:

  • Knowledge of the use of computers.
  • Knowledge of the Inmate Funds program for the receipt of incoming money.
  • Knowledge of court decisions institutional and Department of Justice policy.
  • Knowledge of inmate movement and the inner workings of correctional institutions.


MINIMUM QUALIFICATIONS:

Education:
High School Diploma
Experience:
0-1 year of progressive work experience (typically in Business) with acquired knowledge at the level of a Mail Clerk I
Certificates Licenses Registrations:
Must possess and maintain a valid drivers license.
OR
Education & ExperienceSubstitution:
1-2 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Mail Clerk I
Certificates Licenses Registrations:
Must possess and maintain a valid drivers license.

Necessary Special Requirements


PHYSICAL WORKING CONDITIONS:

  • Must be able to lift 50 pounds withstand weather extremes and maintain a good working relationship with staff.
  • Exposure to hazardous materials bodily fluids chemicals body parts bio-hazards and potential explosives requires handling time-sensitive mail constant exposure to elements driving delivery vehicles and operating large and complex mailroom equipment.
  • Exposure to inside and outside environmental conditions.
  • Walking on cement floors regularly.
  • Stooping bending kneeling and crouching on an occasional basis.
  • Reaching regularly.
  • Typing/Repetitive motion frequently.
  • Pre-service training is required.
