FINANCE DEPARTMENT
JOB TITLE: Payroll and Benefits Clerk
REPORTS TO: Chief Academic Officer
DEPARTMENT/CAMPUS: Finance Department
PRIMARY PURPOSE:Work under moderate supervision to assist with the accurate and timely preparation of payroll and employee benefits according to prescribed procedures and regulations.
QUALIFICATIONS:
Education/Certification:
- High School diploma or GED
Special Knowledge/Skills:
- Effective organization communication and interpersonal skills
- Ability to maintain accurate and auditable records
- Ability to effectively present information in one-on-one situations
- Ability to manage multiple priorities and projects
- Ability to work with numbers in accurate and rapid manner to meet established deadlines
- Ability to use software to develop spreadsheets databases and do word processing
- Proficiency in keyboarding and file maintenance
Experience:
- Three to five years bookkeeping/payroll experience preferred
Major Responsibilities and Duties:
- Receive and audit time sheets for all district employees following established procedures.
- Enter and maintain data in the district timekeeping system.
- Process employee banking information and contact staff and financial institutions as necessary to ensure accurate direct deposits and ACH transfers.
- Maintain district payroll registers employee payroll information and other original documentation in an orderly and accurate manner in accordance with state federal and district requirements.
- Work cooperatively with administrators principals directors human resources department and staff to process hiring leave terminations and other employment-related payroll issues.
- Assist in conducting benefits orientation meetings and enrollment of new employees in benefit plans.
- Assist with annual open enrollment process including preparing distributing and receiving materials and forms.
- Assist with benefits-related data entry data verification and preparation of reports.
- Compile maintain and file all reports and other documents as required including auditable records.
- Display tolerance necessary for accepting supervision for and criticism of job performance.
- Work in harmony with supervisory faculty and peer personnel.
- Use professional information discreetly and judiciously.
- Support and follow administrative and Board policy.
- Represent the school system to the community in a positive professional way.
- Maintain a sincere friendly attitude toward patrons.
- Perform other duties as assigned by Chief Financial Officer.
Supervisory Responsibilities:
Mental Demands/Physical Demands/Environmental Factors:
- Tools/Equipment Used: Standard office equipment including personal computer and peripherals
- Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting
- Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
- Lifting: Occasional light lifting and carrying (less than 20 pounds)
- Environment: May work prolonged or irregular hours
- Mental Demands: Work with frequent interruptions; maintain emotional control under stress
