PAYROLL & BENEFITS CLERK

FINANCE DEPARTMENT

JOB TITLE: Payroll and Benefits Clerk

REPORTS TO: Chief Academic Officer

DEPARTMENT/CAMPUS: Finance Department

PRIMARY PURPOSE:Work under moderate supervision to assist with the accurate and timely preparation of payroll and employee benefits according to prescribed procedures and regulations.

QUALIFICATIONS:


Education/Certification:

  • High School diploma or GED

Special Knowledge/Skills:

  • Effective organization communication and interpersonal skills
  • Ability to maintain accurate and auditable records
  • Ability to effectively present information in one-on-one situations
  • Ability to manage multiple priorities and projects
  • Ability to work with numbers in accurate and rapid manner to meet established deadlines
  • Ability to use software to develop spreadsheets databases and do word processing
  • Proficiency in keyboarding and file maintenance

Experience:

  • Three to five years bookkeeping/payroll experience preferred

Major Responsibilities and Duties:

  • Receive and audit time sheets for all district employees following established procedures.
  • Enter and maintain data in the district timekeeping system.
  • Process employee banking information and contact staff and financial institutions as necessary to ensure accurate direct deposits and ACH transfers.
  • Maintain district payroll registers employee payroll information and other original documentation in an orderly and accurate manner in accordance with state federal and district requirements.
  • Work cooperatively with administrators principals directors human resources department and staff to process hiring leave terminations and other employment-related payroll issues.
  • Assist in conducting benefits orientation meetings and enrollment of new employees in benefit plans.
  • Assist with annual open enrollment process including preparing distributing and receiving materials and forms.
  • Assist with benefits-related data entry data verification and preparation of reports.
  • Compile maintain and file all reports and other documents as required including auditable records.
  • Display tolerance necessary for accepting supervision for and criticism of job performance.
  • Work in harmony with supervisory faculty and peer personnel.
  • Use professional information discreetly and judiciously.
  • Support and follow administrative and Board policy.
  • Represent the school system to the community in a positive professional way.
  • Maintain a sincere friendly attitude toward patrons.
  • Perform other duties as assigned by Chief Financial Officer.

  • Tools/Equipment Used: Standard office equipment including personal computer and peripherals
  • Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting
  • Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
  • Lifting: Occasional light lifting and carrying (less than 20 pounds)
  • Environment: May work prolonged or irregular hours
  • Mental Demands: Work with frequent interruptions; maintain emotional control under stress
