Title: MIS Clerk/Counseling Administrative Assistant
Reports to: Director of Special Education andBuilding Principal
Schedule: 8hours per day/ 194days per year - This position works at both the Middle School andShawnee Heights Elementary School.
Purpose and Objectives of the MIS Clerk Position: TheMIS clerk enters data checks for accuracy of IEPs and responds to verifications from the State Dept. To accomplish these tasks the MIS clerk works closely with the Special Services staff and administration of the department.
Purpose and Objectives of theAdministrative Assistant Position: The Administrative Assistant in the Counselors Office provides office and clerical support to assist with the efficient operation of the Counselors Office. To accomplish these tasks the Administrative Assistant works closely with the staff and administration of the district to assure accuracy of all records.
Essential Job Functions and General Responsibilities for the MIS Clerk:
- Helps KlDSS coordinator to provide staff training.
- Answers most questions from SPED service providers. If needed will confer withKIDSS coordinator.
- Coordinates collection of data. Collects and verifies data from all IEPs. Submits datato State Department. Collection period is December 1and June 1. MIS Clerk is alsoresponsible for submitting exit data catastrophic aid data and contract data to StateDepartment. At times the MIS Clerk may be required to submit additional data toKSDE for file review purposes.
- Generates reports for district and special education administration as requested.
- Maintains both the IEP and MIS data base programs on a daily basis. Enter data for new and exited students into Power School.
- Works closely with staff of other districts to request and provide IEP records in a timely confidential manner.
- Maintains 504 student files.
- Attends IEP and MIS training sessions.
- Provides office and clerical support to assist with the efficient operation of the Special Services Office.
- Must be able to keep student and personnel information and keep records confidential.
- Works closely with all special education staff.
- Safely operates and maintains all office equipment as required.
- Maintains accurate special education records and files as required.
- Receives incoming calls taking reliable messages and routing to appropriate staff.
- Helps school psychologists prepare for Professional Development.
- Must maintain a neat and orderly office space to include the conference room kitchen area and storage room.
- Ability to perform other duties and assume other responsibilities as assigned by the Director of Special Education.
- Position requires prolonged sitting or standing and use of equipment requiring repetitive motions and computer eye fatigue.
- Must be able to work with frequent interruptions.
- Some light to moderate lifting is required to maintain files and disseminate supplies.

- Ability to safely operate all equipment as required.
- Ability to work to implement the vision and mission of the district.
Physical Requirements/Environmental Conditions:
- Requires prolonged sitting or standing and use of equipment including repetitive motions and computer eye fatigue.
- Must occasionally work in a noisy and crowded environment with numerous interruptions.
- Must be a self-starter with the ability to work in a quiet office with very little interchange.
- Some light to moderate lifting is required to maintain files and disseminate supplies.
General Responsibilities:
- Ability to perform the usual office work associated with a productive smoothly run office.
- Ability to place and receive phone calls screen incoming calls and record messages.
- Ability to respond to information requests in a cooperative courteous and timely manner.
- Ability to assist students parents teachers principals and other staff members.
- Ability to perform other tasks and assume other responsibilities as directed by the Special Education Director or building principal.
Knowledge Skills and Abilities Required:
- High school diploma or equivalent.
- Experience as a Secretary with customer service skills.
- Proficient typing word processing proofreading and file maintenance skills.
- Effective organizational communication and interpersonal skills.
- Ability to use computer and software to develop spreadsheets and databases.
- Knowledge of basic accounting principals.
- Ability to use computer typewriter printer copier fax machine and calculator.
- Ability to observe and follow all school district policies at all times.
- Ability to react to change and frequent interruptions in a productive and positivemanner meeting deadlines as assigned.
- Ability to implement and follow all district health and safety policies including allprecautions of the Bloodborne Pathogens Exposure Control Plan.
- Must complete annual training required by district.
- Must verify good health by passing a physical examination which includes TB anddrug test as required.
- Desire to continue career improvement by enhancing skills and job performance.
- Ability to keep student and personnel information and records confidential.
