Job Summary
We are seeking a friendly organized and professional Receptionist to join our team. As the first point of contact for visitors and clients the Receptionist plays a key role in creating a positive first impression. This position is responsible for managing front desk operations including greeting guests handling incoming calls and supporting administrative tasks to ensure the smooth functioning of the office.
Job Responsibilities
Greet and welcome visitors in a warm and professional manner
Answer screen and forward incoming phone calls to appropriate departments
Maintain a clean organized and presentable reception area
Receive sort and distribute daily mail and deliveries
Schedule appointments and manage meeting room calendars
Provide basic and accurate information to clients and visitors
Maintain office security by following safety procedures and controlling access via the front desk (monitor logbook issue visitor badges etc.)
Perform other administrative support tasks such as filing photocopying data entry and managing office supplies
Assist various departments with general administrative tasks when needed
Job Requirements
High school diploma or equivalent; associate degree or administrative certification is a plus
Proven work experience as a receptionist front desk representative or similar role
Proficiency in Microsoft Office Suite (Word Excel Outlook)
Excellent verbal and written communication skills
Strong organizational and time-management abilities
Customer service attitude and professional appearance
Ability to multitask and remain calm under pressure
Familiarity with office equipment (e.g. fax machines printers phone systems)
