Executive Administrative Assistant/ Tech Writer 105 Safety

Summary of Position

The right candidate shall provide administrative research and analysis support for SAFETY This effort may include providing administrative and managerial support for technical manuals drawings and other technical data.

Essential Duties & Responsibilities:

  • The Successful candidate shall provide management and operational support including office management meeting and event coordination preparation of documents/presentations distribution of information metrics management and logistics support.
  • The Successful candidate shall provide support for the successful operation of the organization.
  • The Successful candidate shall provide front desk staffing to provide visitor greeting control and administrative assistance and shall use paging systems and/or provide assistance for visitors.
  • The Successful candidate shall perform scheduling and organizing of meetings events and conferences including conference rooms and other spaces required to implement the activity.
  • The Successful candidate shall schedule conference rooms utilizing the common iCrane SharePoint calendar.
  • The Successful candidate shall support the visitor request process to ensure authorized andappropriate personnel are allowed access to buildings and spaces.
  • The Successful candidate shall provide support for personnel moves by completing required paperwork and monitoring progress.
  • The Successful candidate shall perform asset tracking as requested to maintain accurate inventory of equipment materials and supplies.
  • The Successful candidate shall maintain the inventory of office supplies and shall initiate replenishment efforts with the appropriate Government entity.
  • The Successful candidate shall develop deliver and maintain records of correspondence including memos letters announcements and other types of communiques as required.
  • The Successful candidate shall prepare and analyze various types of documents including property passes visit requests naval messages passports Crane internal memos and off station letters.
  • The Successful candidate shall assign sequential numbers for various documents/correspondence using an established number tracking system.
  • The Successful candidate shall perform document and form preparation review submission andtracking.
  • The Successful candidate shall develop disseminate and manage presentations and briefing material.
  • The Successful candidate shall perform distribution of information across organizations via paper documents email digital postings and other means required.
  • The Successful candidate shall perform communications using a variety methods including verbaltelephonic textual documentation and digital.
  • The Successful candidate shall perform document scanning and storage management of documents and other forms of data/information.
  • The Successful candidate shall operate/maintain data repositories containing documentsand data. This data consists of items such as business records management typeinformation; and/or engineering drawings manuals and other technical documents forwhich hard copy or magnetic media masters are to be retained.
  • The Successful candidate shall receive documents maintain an automated logging system copy each document on the media available for protection on a sequential number system remove and release documents as requested maintain a record or master of copy holders provide reproduction and distribution and perform other librarian type tasks. Distribution tasks require packaging labeling and mailing or otherwise shipping single or multiple documents to single or multiple locations within or outside the Government.
  • The Successful candidate shall support the records management programs performing asthe formal/appointed Records Liaison or alternate as requested.
  • The Successful candidate shall perform document and records management support by maintaining document lists/inventories evaluating document format/content updating and/or editing documents and information and developing new documents as requested.
  • The Successful candidate shall develop and/or execute policies practices and processes to assist in managing the full data lifecycle of data/records and information.
  • The Successful candidate shall support the formatting controlling and tracking of records in the formal records management template format and tools.
  • The Successful candidate shall perform accounting of documents and assessing the status and retention/disposition requirements and take actions to accomplish goals/actions.
  • The Successful candidate shall perform data/information management support includingthe creation and/or review of data dictionaries; information integrity analysis; datasource determination and authentication; and evaluation and assessment of businessmanagement systems and tools.
  • The Successful candidate shall support the management of data by performing data identification capture upload validation assessment/analysis storage and transfer.
  • The Successful candidate shall electronically input data into numerous databases utilizing Government and Nongovernment software programs.
  • The Successful candidate shall use database contents to generate information analyses reports and import/export of data.
  • The Successful candidate shall provide collaboration document management and databasetool administration support including configuring and maintaining information document libraries enterprise lists site collections and data.
  • The Successful candidate shall perform social media and communications support andcoordination via iCrane Fusion collaboration tools articles news info sharingblogs discussion forums and other platforms and applications as required.
  • The Successful candidate shall perform iCrane SharePoint administration fusion administration and support for other tools and software applications as requested.
  • The Successful candidate shall generate content oversee operations and perform analyses and reporting of trends inquiries key topics traffic profiles and other measures of social media use/success.
  • The Successful candidate shall support the overall efficiency and effectiveness of the organizations management procedures.
  • The Successful candidate shall create revise and clarify procedures to eliminate conflict or duplication.
  • The Successful candidate shall advise when new procedures are needed for changing situations and shall support implementation of alternative procedures.
  • The Successful candidate shall identify and resolve various complex problems that affect the flow of work transactions.
  • The Successful candidate shall perform tasks such as data collection coordination meeting minutes tracking action items preparing presentations developing standard operating procedures and other tasks to support process improvement.
  • The Successful candidate shall prepare review revise and maintain documents including process technical quality software and systems operations testing and user documentation.
  • The Successful candidate shall write for a variety of audiences from non-technical to experienced personnel and shall gather customer feedback on documentation to improve understanding and usability.
  • The Successful candidate shall gather and analyze technical and product/service information from various sources to document new or changing elements and communicate the information in a way that is engaging and understood by readers.
  • The Successful candidate shall use communication methods that go beyond traditional documentation such as videos demos digital tours and other educational techniques.
  • The Successful candidate shall support team collaboration efforts to plan research write and revise printed and online documentation including general overviews user guides tutorials instructions process and procedures training class materials and other documents as needed.
  • The Successful candidate shall for items in this statement of work develop and impart information to be used in informing various entities of changes to or implementation of new processes strategies tools operations improvements and other support efforts.
  • The Successful candidate shall support organizational learning/teaching at multiple levels including function and skills training initiative and strategic knowledge instruction customer and user education training on use of work process tools and techniques internal and external communications to a wide variety of audiences and continuous/process improvement education.
  • The Successful candidate shall develop educational material and provide courses as required to meet the requirements identified within the scope of this task order.
