DESCRIPTION

Mendocino-Lake Community College District is currently accepting applications for a Administrative Assistant II to work in the Mendocino College Foundation Department.

This is a full-time Classified position 40 hours per week 12 months a year.

The Mendocino College Foundation is a philanthropic auxiliary of Mendocino College and an official 501(c)3 nonprofit organization. The Foundation supports Mendocino College in educating leaders fostering intellectual growth and enriching lives by creating opportunities to invest in a better future for our students and communities. Established in 1984 with the purpose of assisting students by providing scholarships the Foundation has grown to more than 12 million in assets today. Scholarships remain the core way that the Foundation supports students with more than $200000 awarded each year to existing and incoming students. Since 2007 the Foundation has been administering the Adopt a Fifth Grader program awarding the promise of a scholarship to fifth grade students in the College District encouraging them to finish high school and enroll at Mendocino College. Through the various affiliates or Friends groups the Foundation conducts more targeted outreach and departmental support for areas like Nursing Agriculture Theater Arts as well as the Colleges three Centers in Fort Bragg Willits and Lakeport. The guiding vision of the Foundation is to be a major force in helping students turn their hopes and dreams into realities.

Under direction of a Dean or Director provides administrative assistance and office support; serves as liaison between administrator and the faculty staff students and public; coordinates and performs specialized technical tasks; provides budget and other recordkeeping and reporting.

SALARY AND BENEFITS

Salary Range (25): The starting monthly salary range is $4573 $4801. There are seven annual step movements; initial placement will be at step 1 unless approved by the Superintendent/President.

Benefits: With no monthly premium contribution from the employee we offer a comprehensive benefits package that includes family medical dental vision EAP benefits and employee life insurance. Additional voluntary life insurance is available for employee purchase. Benefits are effective the first of the month following hire date.

Holidays and Paid Time Off: The successful candidate will earn twelve (12) days of vacation and twelve (12) days of sick leave per year. Vacation leave increases with the length of service. There are twenty (20) paid holidays annually.

Retirement: This position is eligible for CalPERS Retirement.


REPRESENTATIVE DUTIES

The successful candidate will support student and institutional success by executing the following duties:

  • Assists with administrative matters; organizes office activities; maintains and monitors schedules related to office functions; independently performs a wide variety of duties which support the functions assigned to the administrator; coordinates activities/events.
  • Serves as liaison between the administrator and faculty staff students and the public; establishes and maintains positive staff and public relations; maintains confidentiality and exercises discretion.
  • Receives and screens visitors and telephone calls referring to others as appropriate; takes and forwards messages.
  • Provides information and assistance regarding District programs policies procedures rules and regulations; resolves questions and issues; interprets and applies rules and regulations as appropriate; assists students staff and others with the completion of forms and documents.
  • Coordinates and performs specialized technical tasks for the administrator such as:
    • Distance and Contract Education
    • Scholarship program; works directly with donors and students; prepares scholarship announcements other information and reports; maintains related records.
  • Prepares and maintains complex computerized documents reports databases and products; verifies records and compiles a wide variety of information and data for reports and other purposes; develops spreadsheets databases and other computerized information/documents; may maintain information on the college website.
  • Assists in the preparation of a variety of annual program review and division budget requests; performs budget recordkeeping and monitors expenditures; prepares related reports.
  • Prepares reviews maintains and distributes a wide variety of reports forms applications lists instructional materials requisitions schedules fliers calendars manuals handbooks announcements handouts and other documents; assures that information is accurate and district policies and procedures are met.
  • Composes and prepares correspondence arranges and schedules meetings and appointments;
    makes travel arrangements; prepares agenda items for meetings; takes and transcribes meeting notes; distributes to appropriate personnel.
  • Maintains records and files; establishes and maintains filing systems; orders receives and maintains an inventory of office supplies and other materials; opens and distributes mail.
  • Operates a variety of office equipment including computers and related Microsoft Office software calculator copier etc. and others specific to the department.
  • Trains and provides work direction to others as assigned; attends meetings and workshops as directed; performs other related duties as assigned.
WORKING CONDITIONS:
Office environment; subject to interruptions and distractions. Physical demands include sitting standing reaching bending walking and light lifting

QUALIFICATIONS

Must meet Human Resources guidelines for qualified hiring; including but not limited to a Live Scan background check and completion of TB Test.

Sensitivity to and understanding of the diverse academic socioeconomic cultural disability geographic and ethnic backgrounds of students staff and faculty.
