Job Summary

The Project Manager II AMC Ambulatory plays a pivotal role in advancing the strategic priorities of the Mass General Brigham (MGB) ambulatory enterprise. This position supports the development and implementation of initiatives that focus on Access Value Care Delivery and Safety across our Academic Medical Centers (AMCs) and founding members of Mass General Brigham- Brigham and Womens Hospital Brigham and Womens Faulkner Hospital and Mass General Hospital along as well a regional sites and community health centers. Working in close partnership with operational leaders across our AMCs and the system Project Manager II ensures all initiatives are grounded in the voice of the patient and designed to improve the experience and outcomes of care.
This role requires a critical thinker and hands-on collaborator who can manage complex projects while facilitating communication alignment and accountability across departments and stakeholders in a fast-paced environment.


Qualifications

Core Responsibilities

Project Lifecycle Management

  • For assigned project comprehensively manage all aspects of a project from start through completion in collaboration with assigned stakeholders. As project manager core responsibilities include:
    • Provide a structure framework for guiding the project through the various stages to ensure key deliverables are met timely and within the set goals (budget due date etc.)
    • Develop and communicate project timelines key performance indicators and project deliverables.
    • Develop and implement communication plans to keep stakeholders informed of progress and critical changes.
    • Ensure that project meetings are effective (have a purpose interactive agenda encourage participation and have clear deliverables).

Strategic Planning

  • Partner with operational and clinical leaders to define and implement a strategic roadmap for ambulatory care aligned with departmental AMC and system priorities.
  • In collaboration with departmental and AMC leaders translate system goals into actionable projects with measurable outcomes ensuring a patient-centered focus throughout.
  • Collaborate with analytics teams to curate synthesize and share data that informs strategic and operational decision-making.

Policy Guidelines and Standards

  • Coordinate the development implementation and monitoring of standardized protocols and procedures across the AMC ambulatory footprint.
  • Leverage data dashboards and other tools to monitor analyze and report on the adoption of guidelines across practices and identify areas for improvement and consistency in collaboration with operational and clinical stakeholders.

Knowledge Management & Communication

  • Maintain clear up-to-date documentation of organizational structure initiatives and reporting lines.
  • Develop and execute communication plans that elevate the patient voice and foster engagement across teams.
  • Support the multi-channel communication platform that Ambulatory Services has to communicate with internal and external stakeholders. Ensure that it is up-to-date interactive and evolving with the needs of our stakeholders the AMC and system vision and other technological factors.

Patient Care Performance Management

  • Support the establishment and monitoring of key performance indicators (KPIs) and improvement targets leveraging NRC and other patient experience data platforms.
  • Assist operational teams in translating data insights into actionable quality and performance enhancements related to patient staff and provider experience to improve the clinic experience for all.
  • Use data to support benchmarking forecasting and identification of opportunities for improvement to ensure that clinic operations align with industry best practices.

Facility and Operational Management

  • Identify pilot and evaluate innovative models of ambulatory care and support services.
  • Ensure new initiatives are designed with and for patients and that operational leaders are engaged throughout the process.
  • Builds and maintains ongoing working relationships with on-site leadership and staff to facilitate positive staff morale and support productivity.
  • Works with the Facility Manager/Assistant Foreman to ensure regulatory and policy compliance.
  • Works with Ambulatory Business Service Manager to track ongoing capital projects at regional sites.

Emergency Management Strategy

  • Collaborate on enterprise preparedness plans to ensure continuity and safety of ambulatory services during emergencies.
  • Integrate patient experience and safety into emergency response and recovery protocols.

Ad Hoc/ Flex Support: Access Improvement

  • Lead or support projects related to scheduling optimization referral coordination and capacity management.
  • Support operational leaders and other key stakeholders as they seek to identify and address operational barriers to timely and equitable patient access.
  • May be required to support Enterprise Ambulatory based on business needs

Qualifications

Required:

  • Bachelors degree in Healthcare Administration Public Health Business or a related field.
  • 57 years of experience in project management or healthcare operations.
  • Demonstrated success in managing cross-functional projects involving diverse stakeholder groups.
  • Strong communication analytical and organizational skills.
  • Proficiency in project management and productivity tools (e.g. MS Project Excel Teams).

Preferred:

  • Masters degree (MPH MHA MBA or related discipline).
  • Background in ambulatory care operations or health system strategy.
  • Familiarity with Lean Six Sigma or other quality improvement methodologies.
  • PMP CAPM or related project management certification.

Working Conditions

  • Work is performed in all areas of the Centers and travel is required to sites. Partial Hybrid.
  • The ability to move through a wide range of environments throughout the Center is required.
  • Independent transportation to locations that may not be served by public transportation is necessary.
