JOB DESCRIPTION
Summary/ Objective
East Side House is seeking a detail-oriented customer-focused seasonal Special Events Assistant to support donor relations and guest services at The Winter Show. This in-person position will assist with data entry ticket processing guest check-in and on-site troubleshooting during the peak fundraising season.
Essential Functions and Responsibilities
Under the supervision of the Fundraising Special Events Officer the Special Events Assistant will be responsible for but not limited to the following:
- Accurately enter and update donor information & purchases into the Donor Perfect database
- Generate invoices acknowledgment letters and donation receipts
- Process online and on-site ticket purchases including VIP and benefit ticket packages
- Provide high-quality customer service to guests donors and partners via phone email and in person
- Staff the front desk and assist with guest check-in during run of show
- Troubleshoot ticketing and RSVP issues in a calm and professional manner
- Coordinate with Development and TWS Events teams to ensure seamless guest experiences
- Maintain confidential donor and transaction records with discretion and accuracy
- Support additional administrative and logistical tasks as assigned

Qualifications
Qualifications
To perform this position successfully the Special Events Assistant must be able to fulfill all the elements of the job description to the highest standard and be able to work well with colleagues in a high-energy and collaborative work environment. Additional qualifications include:
Education / Experience
- Bachelors degree and at least one year of relevant experience
- Experience working with DonorPerfect or another relational fundraising database preferred
- Proficiency in Microsoft Office (Word Excel Outlook Access PowerPoint)
- Strong verbal written and analytical skills
- Experience in fundraising donor relations or nonprofit administration is a plus
Competencies
- Exceptional communication and customer service skills
- Strong strategic thinking and attention to detail
- Proven ability to manage multiple deadlines and high-volume data
- Effective time management and problem-solving ability
- Comfort working independently and collaboratively in a team environment
Clearance
Employees must be clear to work at ESH. Employment is contingent upon successful completion of background checks and/or screenings.
Supervisory Responsibility
This role has no supervisory responsibilities.
Physical Demands
This role may involve occasional lifting or moving of items up to 25 pounds and routine use of standard office equipment. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.
Expected Work Schedule
This is a seasonal In-person role from November through March including evenings and weekends during The Winter Show (January 19-February 1st). Workdays/hours subject to change based on operational needs.
