Job Summary

40% Leadership
  • Provide vision leadership and strategic direction for the transfer credit catalog management and course and room scheduling functions that support the universitys mission and student success.
  • Serve as the primary problem-solver for complex catalog scheduling and room utilization needs including exceptions and appeals to established policies.
  • Collaborate with academic units to develop course schedules that support degree progression effective classroom utilization and timely graduation.
  • Lead and actively contribute to university committees and working groups focused on enhancing transfer credit academic catalog and scheduling processes.
  • Establish monitor and evaluate unit goals and priorities; identify process improvements and track progress toward outcomes.
  • Provide strategic direction for KUs transfer credit operations by aligning policies resources and statewide initiatives (articulation agreements reverse transfer Credit for Prior Learning) with institutional priorities and student success outcomes.
  • Advise on curriculum and program development in support of academic planning.
  • Maintain awareness of national trends and apply best practices to improve catalog scheduling and room utilization strategies.
  • Demonstrate commitment to professional growth and foster a culture of continuous learning within the unit.

30% Project Management and Assessment
  • Oversee and coordinate projects assigned to the Office of the University Registrar ensuring timely communication with stakeholders and end-users.
  • Develop implement and assess outreach activities related to catalog management and course scheduling initiatives.
  • Manage the design assessment and continuous improvement of transfer credit processes reports and system resources (e.g. CredTran ImageNow) ensuring projects are implemented on time data-driven and student-centered.
  • Collaborate with the Student Life Cycle Technology team to address Oracle-related requirements and issues ensuring system functionality aligns with institutional needs.
  • Partner with campus stakeholders to design and assess operational strategies using data and metrics to recommend changes that improve efficiency and effectiveness.
  • Engage in professional organizations (e.g. KACRAO AACRAO) and with vendor partners (e.g. CourseLeaf 25Live) to maintain expertise and bring innovative practices to the unit.

25% Supervision
  • Provide leadership and direction for assigned staff including setting priorities assigning responsibilities and evaluating performance.
  • Support staff development through orientation training and ongoing professional growth opportunities aligned with unit goals of outstanding customer service.
  • Foster a collaborative service-oriented team culture.
5% Other Duties
  • Perform additional responsibilities as assigned by the University Registrar including representing the department internally and externally as needed.

  1. Masters degree and three years of related experience in higher education administration or Bachelors degree and five years of related experience.
  2. Two years of supervisory experience.
  3. Demonstrated success managing programs projects or services within a unit serving a university community as evidenced in application materials.
  4. Experience developing and implementing policies and procedures in compliance with federal state and institutional regulations.
  5. Knowledge of and experience with enterprise-level student information systems (e.g. Campus Solutions/PeopleSoft).
  6. As evidenced by application materials a proven ability to lead change assess operations and implement process improvements.
  7. Strong skills in strategic planning communication and relationship management as evidenced in application materials.

This position requires a formal degree in the cited discipline area(s) to ensure that candidates have advanced knowledge analytical skills and professional competencies necessary to perform the duties of the position.   1. Masters degree in Higher Education Educational Administration Student Personnel or a closely related field.
  2. Five years of progressively responsible experience in a registrars office.
  3. Experience in a large public research university setting as evidenced in application materials.
  4. Demonstrated expertise in project management policy development and compliance.
  5. Five years of supervisory experience.
  6. Experience with curriculum management systems and space scheduling software as evidenced in application materials.



Position Overview
More than perhaps any other factor the degree to which a university attracts and retains qualified students determines the success or failure of that institution. The Enrollment Management division is a key player in this activity and has a profound effect on the institutions success. Enrollment Management (EM) includes the following functional units: Office of Undergraduate Admissions Graduate Enrollment Management Financial Aid and Scholarships Office of the University Registrar Student Lifecycle Technology Enrollment Marketing Communications and Enrollment Management Services. The division is committed to developing a data-informed forward-looking comprehensive enrollment strategy that enables the institution to pursue strategic goals in an integrated and intentional manner.

The Office of the University Registrar reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of Undergraduate Admissions Financial Aid and Scholarships Student Information Systems and the Office of the University Registrar.
The Office of the University Registrar (OUR) is responsible for catalog and course scheduling room reservations student enrollment tuition and fee assessment production and maintenance of the academic record including the official academic transcript enrollment certification graduation and diploma production.

The Associate University Registrar for Catalog Scheduling and Transfer Credit provides leadership oversight and strategic direction for the universitys academic catalog course scheduling classroom utilization and transfer credit processes. This position manages staff projects and initiatives within the Office of the University Registrar to ensure accurate efficient and student-centered operations. The role collaborates closely with academic and administrative units to support degree progression optimize classroom resources and uphold compliance with federal state and institutional policies and and standards. The position serves as a subject matter expert represents the university in professional associations and acts on behalf of the University Registrar when assigned.
