Job Summary:

Under the general supervision of the Director serve as administrative support for the Office of Academic Research/Research Development and provide full range of moderate to complex clerical support activities associated with the office.

Responsibilities:

Serve as administrative support to the Office of Academic Research. Provide a full range of moderate to complex clerical and secretarial work assignments including answering phones assisting visitors coordinating campus deliveries and maintaining email communications. Utilize strong technological problem-solving and interpersonal skills to support correspondence maintain accurate records and spreadsheets and compile reports. Contribute to office operations by assisting with projects such as event publicity website updates and other administrative tasks as needed.

Provide administrative support to university centers and institutes affiliated with the Office of Academic Research. Responsibilities include coordinating cross-unit communications assisting with meeting and event logistics maintaining records and supporting ongoing operations in collaboration with center directors and staff. Support data collection reporting and project coordination including preparing documentation tracking budgets and maintaining timelines. Assist with public-facing communications including drafting or distributing content related to center/institute activities.

Provide administrative support for internal grant programs managed by the Office of Research Development including assistance with application processing tracking pre- and post-award data and compiling reports. Facilitate email communications and correspondence related to internal grants such as announcements deadlines and award notifications ensuring timely and professional outreach to campus constituents. Coordinate workshops and perform administrative tasks to support the effective delivery of office initiatives.

Perform other classification-related duties as assigned in support of the Office of Academic Research and related units. These may include support tasks for campus initiatives technological/technical administrative reporting or contributing to short-term projects as needed.

Minimum Qualifications:

  • High School diploma or its equivalent
  • Two years of experience in general office clerical or secretarial work or the equivalent.

Required Qualifications:

  • Experience to be proficient in performing most or all work assignments.
  • General working knowledge of applicable university infrastructure policies and procedures.
  • Thorough knowledge of office methods procedures and practices.
  • Fluency in using standard office software packages.
  • Thorough knowledge of English grammar punctuation and spelling.
  • Ability to learn interpret independently and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
  • Ability to apply independent judgment discretion and initiative to address problems and develop practical thorough and at times creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature including tracking and comparing data.
  • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Demonstrated competence in understanding interpreting and communicating procedures policies information ideas and instructions.

Preferred Qualifications:

  • Equivalent to two years of general office experience which include providing lead work direction.
  • General knowledge of evaluation principles and techniques and skill in their application; general knowledge of organization; and general knowledge of higher education policies nonprofit organizations service-learning pedagogy and fund development is preferred.

Compensation and Benefits:

Anticipated Hiring Range: $3680 per month maximum

Classification Salary Range: $3680 - $5417 per month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical dental and vision plans membership in the California Public Employees Retirement System (CalPERS) sick and vacation time and 15 paid holidays a year. Position Information:

Full-time Non-Exempt Probationary

Academic year schedule: Monday through Friday (8:00 am 5:00 pm) some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm) some evenings/weekends.

Background Check

Possession of a valid Drivers License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid drivers license and reflects driving record.
