ESSENTIAL DUTIES

Responsible for managing the end-to-end booking check-in and reporting processes for school groups across all SAM locations as well as coordinating docent assignments for private guided tours. Provides responsive professional communication with educators school leaders and group organizers ensuring a seamless visitor experience. Coordinates cross-departmentally with Education and Interpretation to align school logistics with program goals docent availability and reporting needs.

Responsibilities include but are not limited to:

Group Booking & Coordination

  • Manage all school group bookings (guided and self-guided) using Tessitura Momentus Elite Acuity Scheduling Google Sheets Microsoft Access and other software as needed.

  • Maintain centralized scheduling system; generate and distribute weekly tour schedules for staff docents and teaching artists.

  • Serve as primary point of contact for school group leaders; ensure clear timely and accurate communication.

  • Coordinate with frontline teams to prepare for daily arrivals and troubleshoot scheduling conflicts.

  • Assign docents to private guided tours establishing a centralized docent assignment process within Visitor Experience.

  • Collaborate with Interpretation staff on docent needs ensuring VX scheduling aligns with Educations content and training priorities.

Visitor Services & Onsite Support

  • Greet check in and orient school groups upon arrival at all SAM sites.

  • Track real-time attendance for grant-funded and institutional reporting.

  • Support part-time Visitor Experience staff during peak periods and provide guidance for managing high-volume group days.

  • Communicate feedback from teachers chaperones and students to Education and Visitor Experience leadership.

Payment Processing & Reporting

  • Process school group payments and ensure accurate financial tracking in collaboration with Finance.

  • Maintain consistent reconciled records of bookings payments and attendance.

  • Produce regular reports on school group attendance and participation to support grant applications institutional planning and external funder requirements.

  • Coordinate with the Education department on bus reimbursements by providing timely and accurate records of eligible schools and groups for reimbursement.

Collaboration & Training

  • Partner with Education staff to ensure alignment with school program content policies and goals.

  • Train and support existing frontline Visitor Experience staff on group check-in procedures and best practices.

  • Contribute to cross-departmental meetings and initiatives to strengthen collaboration and the visitor experience.

Other Duties

  • Represent SAM in communications with schools and other external partners reflecting the museums commitment to exceptional service and access.

  • Contribute to institutional equity accessibility and antiracism initiatives.

  • Participate in institutional learning opportunities and staff meetings.


FLMA Status: FT Non-Exempt
Compensation: $27.21/hour
Workplace Type: Hybrid Eligible
Reports To: Sales Manager

WE ARE LOOKING FOR

Required Qualifications

  • Associates degree or equivalent combination of education and experience.

  • Two years customer service sales or group booking experience including at least one year in a museum cultural or educational setting.

  • Experience with database and scheduling software (e.g. Tessitura Acuity Microsoft Access or similar).

  • Strong organizational skills and the ability to manage multiple projects simultaneously.

  • Demonstrated ability to communicate effectively and professionally with diverse stakeholders including educators students and colleagues.

  • Ability to assess priorities meet deadlines and adapt to evolving demands.

  • Strong problem-solving skills and attention to detail.

  • Proficiency in Microsoft Office Suite Google Workspace and digital communication tools (Slack Zoom etc.).

  • Ability to work cross-departmentally and maintain collaborative positive relationships.

  • Ability to pass and maintain a security background check clearance.

Preferred Qualifications

  • Experience in school or group sales in a museum performing arts or cultural institution.

  • Familiarity with project management software such as Asana.

  • Proficiency with Tessitura.

WORK SCHEDULE

Typically scheduled during business hours TuesdaySaturday with flexibility required to support school visits and organizational needs.

WORK CONDITIONS

  • Primarily indoor climate-controlled environment.

  • Combination of desk work (approximately 70%) and visitor-facing duties (approximately 30%).

  • Frequent movement between work areas; occasional extended standing during group check-in periods.

  • Clear and effective communication in English with school groups colleagues and the public required.

Requirements for employment. In order to be employed by the Seattle Art Museum you must reside in the state of Washington. Employment at SAM is contingent upon successful clearing and maintenance of clearance in both a federal and state criminal background check.
