Description
Summary: The Facilities & Security Lead ensures daytoday operations safety vendor coordination and security coverage across the Kenmore and Seattle worksites. The role organizes facility documentation oversees preventive and corrective maintenance manages vendors and small projects coordinates office relocations and supports incident response. This role serves as the primary point of contact for external vendors inspectors and internal stakeholders during the transition period and future steady state.
Operations & Maintenance
- Own daily facility operations (work order intake triage scheduling closeout) for Kenmore and Seattle work sites.
- Maintain asset lists logs and service records; track warranties and inspections; ensure compliance documentation is current.
- Coordinate preventive maintenance and minor repairs; escalate specialized work to licensed vendors.
- Assist small capital/repair projects (scope quotes scheduling site supervision punchlists).
Vendor & Contract Coordination
- Source schedule and manage vendors (HVAC plumbing electrical janitorial landscaping waste elevators fire/life safety security) including SOWs COIs and site access.
- Track deliverables SLAs and invoice approvals in partnership with Finance/AP.
Security Coordination
- Coordinate security schedules/coverage for BUK/BCNH; align on post orders; manage incident logs and access control requests.
- Liaise with contracted security and local authorities as needed; support key/card issuance and returns.
Office Move Coordination
- Serve as the operational lead office relocations and internal departmental moves.
- Maintain storage inventories; coordinate pickups/returns of university and personal property with documented chainofcustody.
Compliance & Safety
- Maintain inspection calendars (fire systems elevators backflow boilers if applicable ADA paths alarms) and coordinate remediation plans.
- Serve as primary point for safety walkthroughs; coordinate EHS items with HR/Compliance as needed.
Communication & Records
- Centralize facility records (drawings permits manuals) and keep a shared repository organized and current.
- Provide clear status updates to stakeholders; create weekly ops report (open tickets vendor status incidents risks).
Minimum Qualifications
2 years in facilities operations building maintenance coordination or property management
- Experience coordinating vendors and basic knowledge of building systems (HVAC electrical plumbing life safety).
- Strong organization documentation and communication skills; proficiency with workorder or ticketing tools and MS/Google suite.
- Ability to lift up to 40 lbs. walk between multiple buildings and across a 50 acre campus must be able to respond to offhours incidents as needed.
Qualifications
Preferred Qualifications
- 2 years in facilities operations building maintenance coordination or property management
- Experience coordinating vendors and basic knowledge of building systems (HVAC electrical plumbing life safety).
- Strong organization documentation and communication skills; proficiency with workorder or ticketing tools and Microsoft products
- Ability to lift up to 40 lbs. walk between multiple buildings and across a 50 acre campus must be able to respond to offhours incidents as needed.
- Highereducation clinic/healthcare or multisite operations experience.
- Familiarity with security operations and access control.
- Experience supporting moves/relocations and small capital projects.
Working Conditions
- Onsite; occasional evenings/weekends for emergent issues or events.
- May supervise contractors and student workers as needed.
