The Grants Manager for the Arnhold Institute for Global Health (Arnhold Institute) and the Department of Global Health and Health System Design at the Icahn School of Medicine at Mount Sinai will oversee the full lifecycle of grant management ensuring compliance with institutional sponsor and any applicable government regulations and/or guidelines. This role is cross-functional collaborating closely with the Institute and Departments HR Grants and Finance Team including the Associate Director for HR Grants and Finance the Senior Finance and Contracts Manager and the Finance and HR Manager to support the efficient and timely administration of Department and Institute grants budgets and personnel. They will work in collaboration with the HR Grants & Finance team to streamline Institute and Department administrative and grants procedures to improve efficiency reduce turnaround times and ensure the Department and Institutes grant administration financial oversight and personnel management support needs are fulfilled.


Reporting to the Associate Director for Finance and Human Resources the Grants Manager will play a key role in pre-award and post-award grant processes budget optimization financial projections and grant-related compliance. This position supports faculty program leaders and finance teams in securing and managing extramural funding while ensuring financial integrity and strategic alignment with AIGHs goals.



Responsibilities

Pre-Award Management

  • Collaborate with faculty program teams and external partner grants and finance counterparts to develop grant proposals and budgets ensuring alignment with funding agency requirements.
  • Work with the Senior Finance & Contracts Manager to review financial components of grant applications to ensure proposed work is adequately supported the accuracy of budget costs the allowability of budget items under applicable institutional and sponsor guidelines and application completeness and adherence to application requirements.
  • Ensure compliance with sponsor guidelines institutional policies and federal regulations (e.g. NIH USAID HRSA).
  • Coordinate internal review and approval processes liaising with finance legal and leadership teams.
  • Assist in forecasting funding needs.

Post-Award Management

  • Monitor grant expenditures ensuring compliance with sponsor terms and institutional policies.
  • Work closely with the Finance & HR Manager to oversee personnel allocations effort reporting and salary distributions related to grants.
  • Collaborate with the Senior Finance & Contracts Manager on budget tracking reporting and financial reconciliation.
  • Prepare and submit financial reports justifications and budget modifications to sponsors.
  • Ensure timely invoicing drawdowns and closeout procedures for awarded grants.

Strategic & Compliance Oversight

  • Support audits financial reconciliations and compliance reporting for both internal and external stakeholders.
  • Co-Develop and implement best practices for grants management improving efficiency and transparency.
  • Stay up to date on changes in grant regulations and ensure the Arnhold Institute and Department remains compliant.
  • Provide financial projections to support strategic decision-making and funding sustainability.

Cross-Functional Collaboration & Training

  • Work closely with the Senior Finance & Contracts Manager and Finance & HR Manager to improve grants administration processes.
  • Assist in cross-training finance team members to enhance internal grants management capacity.
  • Provide training and guidance to faculty and staff on grant compliance budgeting and financial reporting.
  • Act as a resource for faculty administrators program staff and counterparts from the global strategic partnerships managed by Arnhold Institute and Department regarding grants management best practices.
  • Other duties as assigned.


Qualifications
  • Bachelors degree required; MBA in related areas preferred.
  • 7 years experience in grants management or closely relevant preferably in health care or higher education with a minimum of 3 years of supervisory experienced preferred.
  • Strong knowledge of federal grant regulations (NIH USAID HRSA etc.) and university research administration.
  • Experience with grant budgeting post-award management and financial reporting.
  • Experience managing externally sponsored programs in global health involving foreign components and international partners strongly desired
  • Familiarity with financial systems and reporting tools (e.g. Sinai Cloud Cayuse Asana or similar platforms).
  • Ability to interpret and apply complex regulations while maintaining compliance.
  • Strong analytical problem-solving and organizational skills.
  • Second language ability strongly desired especially language ability in Spanish Nepali or Kiswahli
  • Excellent communication and collaboration skills with experience working across teams.
