Job Summary

Client Service/Relationship Associate

Key Accountabilities
  • Help to maintain and enhance client relationships; correspond with clients in addition to or in place of their financial representative regarding inquiries/concerns administrative matters and other investments.
  • Explain to and review with clients the essential information re: different types of investment accounts and investment programs.
  • Note all client-related activities on contact management system.
  • Prepare material for client meetings (statements illustrations forms etc.) and may be required to meet with clients to review investments and financial goals.
  • Process investment insurance and banking transactions with a high degree of accuracy. Ensure that transactions have been processed accurately within legal time frames.
  • Notify clients of completed incoming transfers.
  • Initiate/contribute to special projects as the need arises.
  • Review transactions follow up with investment companies financial institutions etc. including preparing and following up with Letters of Indemnity regarding transactions which need amending to ensure that all transactions are completed as directed by the clients and financial advisors.
  • Prepare and reconcile bank deposits for the trust account; physical delivery of cheques to bank near the office (in rotation with other admin staff).
  • Electronically process a variety of transactions for client plans including purchases switches and sells.
  • Track and follow up on insurance applications to ensure timely processing.
  • Correspond with investment companies and intermediaries to ensure accurate record keeping.
  • Prepare outgoing correspondence for clients on behalf of the representatives.
  • Ensure compliance with internal controls and licensing bodies.
  • Contribute to effort of keeping online admin and operational procedures up to date.
  • Participate as a member of the branch team in overall decision-making and planning of strategic direction. Advise management on needed changes/actions.
  • Manage client online acess
  • Perform other general office duties including back-up support for the greeting of clients and offering of coffee etc. as required.
  • Maintain professional and technical knowledge by attending educational workshops as required.
  • Check office mail on a weekly basis
