The Administrative Assistant provides administrative and clerical support to the Cardiac Catheterization Lab ensuring efficient daily operations and effective communication across departments. This role is responsible for managing the Cath Lab schedule posting procedures accurately scheduling pre-admission testing (PAT) appointments and handling patient and staff communications with professionalism and discretion. The Administrative Assistant also supports department leadership with meeting coordination payroll processing staff scheduling and special projects. Serving as a liaison between internal teams external vendors and patients the individual in this role must demonstrate strong organizational skills attention to detail and the ability to work independently in a fast-paced healthcare environment.
Qualifications:
High School Diploma or equivalent
Previous experience in a clerical or administrative support role.
Preferred Experience:
Experience in a health care setting or surgical services preferred.
Competencies Knowledge Skills and Abilities
Neat in appearance with a personable tactful and courteous manner in dealing with a wide variety of people.
Position involves planning judgement and rapid adjustment to the unexpected.
Basic knowledge of Microsoft Word and Excel; proficient with computers to include keyboarding basic navigation and use of email.
Ability to work with multi-line phone and computer systems accurately and efficiently.
Effective customer service and relationship building skills with patients visitors and staff; ability to respect dignity of all patients and follow HIPAA rules without breaches in confidentiality.
Ability to transcribe documents.
Proficient listening verbal and written communication skills.
Unit and annual competencies to be completed each year.
Annual education required per hospital certification(s).
Essential Job Duties:
Administrative & Clerical Support
- Perform a variety of secretarial and clerical duties for department leadership.
- Serve as liaison with department leadership administrative staff other departments visitors and vendors.
- Maintain confidentiality of patients and staff.
- Establish and maintain files contracts and records to ensure accessibility.
- Assist with special projects (e.g. special meetings presentations management planning).
- Maintain an orderly and organized workspace.
- Complete all assigned duties and tasks on scheduler checklist.
- Other duties as requested.
Scheduling & Coordination
- Manage and ensure accuracy of the daily Cath Lab schedule.
- Post procedures accurately using the surgical procedure dictionary.
- Accurately enter patient demographics in scheduler.
- Function as a liaison with referring clinics.
- Schedule PAT (Pre-Admission Testing) appointments appropriately.
- Assign appropriate patient arrival times based on surgery start times and OR comments.
- Verify and confirm procedure details (patient name spelling procedure anesthesia type side/site) and read back for accuracy when not posted electronically.
- Accept surgical postings within designated blocks; otherwise seek approval from unit leadership.
- Enter anesthesia assignments daily.
- Notify appropriate departments of schedule changes or add-ons.
- Communicate time changes with patients and team members when applicable.
- Assist leaders with unit schedules as needed.
Communication & Reception
- Answer phone calls and direct calls to the appropriate person in a courteous and professional manner.
- Interview callers and make proper referrals; screen calls and provide information not requiring clinical staff involvement.
- Greet and direct visitors and vendors to appropriate offices.
- Communicate clearly with patients staff sales representatives and other departments.
Meeting & Event Support
- Arrange and schedule meetings as requested.
- Prepare and distribute meeting notices and materials (e.g. packets) take minutes and maintain related records.
- Assist with planning and attending department functions such as retreats educational events and socials.
Technology & Office Equipment
- Act as a key operator for fax/copy/scanner machines.
- Assist administrative staff with PowerPoint presentations.
- Manage department mail and fax distribution including preparation of priority packages.
Payroll & Timekeeping
- Act as department timekeeper and submit payroll adjustments.
- Assist with staff payroll and scheduling.
