Job Description

Description of Primary Responsibilities

  • Responsible for assisting with secretarial and clerical functions.
    • Assists with correspondence filing copying printing and scanning for Recruitment departments.
    • Answers telephone calls and screens visitors.
    • Takes the minutes of meetings as directed.
    • Orders lunches for meetings as requested.
    • Disseminates incoming mail and receives office mail from courier bags.
    • Prepares courier bags on a daily basis for pickup by the courier service.
    • Compares prices and books hotel and airline reservations.
    • Prepares travel itineraries for candidates and Recruitment department staff.
  • Pre-employment physicals.
    • Books meeting rooms.
    • Assists employees with Recruitment related questions and refers them to appropriate Recruitment team member.
  • Responsible for performing various data entry duties on Applicant Tracking System and other data entry as assigned.
  • Responsible for managing office supplies of the corporate office.
    • Orders and stocks supplies and submits purchase orders.
    • Maintains the copy machines fax machine and printer supplies.
    • Maintains and updates postage meter.
    • Purchases and stocks board room with supplies.
  • Responsible for the overall appearance of the corporate office.
    • Conducts daily walkthroughs to ensure office is neatly kept.
    • Submit work orders for the corporate office when required.
  • Performs other duties as assigned.

Description of Primary Attributes

Professional & Technical Knowledge:

  • Must possess a high school diploma or General Educational Development (GED) certificate.
  • Job duties require specific knowledge of office processes and practices typically learned on the job or which may include a series of training sessions that would comprise a few weeks if done consecutively.

Technical Skills:

  • Ability to prepare basic correspondence and simple reports in Microsoft Word.
  • Ability to use Microsoft Excel to create tables and simple displays of information.
  • Ability to create basic presentations in Microsoft PowerPoint.

Licenses & Certifications: Valid California drivers license.

Communications Skills:

  • Job duties require the employee to effectively communicate routine or non-technical information to co-workers and others.
  • Effectively communicates written information (including electronic correspondence) and verbal presentations.

While performing the duties of this position the employee is regularly required to sit and use repetitive hand movement to type and grasp. The employee is frequently required to stand or walk; and occasionally bend waist twist waist squat climb kneel reach above shoulder height as well as below shoulder height and/or move items up to 20 pounds.

Pay Scale:

Min Hourly Rate: $18.00
Max Hourly Rate: $23.00
