ASSOCIATE
Development and Outreach Department
Los Angeles Office

The Development and Outreach Department of Human Rights Watch (HRW) is seeking candidates for the position of Associate in the Los Angeles office. The Southern California Associate provides detail-oriented administrative support to the Development and Outreach teams based in Los Angeles and Santa Barbara with a focus on managing and organizing the Salesforce database while also collaborating on all communications administration and event coordination. The Associate will participate in team meetings and will have opportunities to attend trainings and events related to human rights as well as network with colleagues around the world.

This is a full-time position that will report to the Los Angeles Associate Director. The successful candidate will be expected to work from the office 4-5 days a week during busy season but may have the option to work remotely 1-3 days during slower times. Some evening and weekend work will be required for events.

Responsibilities:

Database & Fundraising Operations: Maintain the citys Salesforce and Marketing Cloud database ensuring data accuracy and recording all information in a timely manner:

  1. Enter donations in the database upon receipt including all details on the donor and corresponding campaign;
  2. Draft and track the status of gift acknowledgement and thank-you notes for donors sharing tracking list of all thank-you notes with the team on a weekly basis;
  3. Create and update donor profiles with relevant communications and information;
  4. Pull donor interest reports frequently and share with the team tied to upcoming events new reports or research updates on specific topics;
  5. Build campaigns for all local events and coding donors and event attendees appropriately including marking interests in Salesforce;
  6. Merge duplicates and clean up data regularly when errors are found
  7. Coordinate gifts from donors through credit card wire and check processing; and
  8. Support major gifts efforts through prospect research meeting preparation follow-up email drafts and direct communication and coordination with donors.

Event Coordination:

  1. Prepare all communications for city events including creating email invitations and sending reminders and follow-up emails after events;
  2. Coordinate logistics of Zoom virtual events: organize prep calls with researchers create and share an event show-flow and manage recording and attendance;
  3. Oversee all lists for events updating lists daily and sharing with event hosts; and
  4. Support the annual Voices for Justice Dinner the teams largest fundraising event of the Year.

Marketing and Outreach

  1. Prepare draft edit format and distribute correspondence and documents to share with constituents;
  2. In collaboration with the city team create and post all social media and email marketing content for our local community; and
  3. Maintain an annual touch points calendar tracking donor communications keeping our team on track to email or call donors with regular frequency throughout the year.

Team and Committee Administration

  1. Provide administrative support to the department such as scheduling preparing for and taking minutes at meetings preparing background materials making travel arrangements and responding to inquiries;
  2. Collaborate with IT on all office technology needs troubleshooting as needed;
  3. Conduct office inventory and ensure the office is fully stocked by ordering supplies merchandise and HRW reports as needed;
  4. Process and pay invoices for all contractors vendors honorariums and other Development team transactions;
  5. Coordinate physical mailings to donors and prospects; and
  6. Perform other duties as required.

Qualifications:

Education: A bachelors degree or equivalent work experience in human rights international relations social science or a related field is required.

Experience: A minimum of one year of relevant work experience in development nonprofit administration or communications is required. Events experience is also desirable.

Related Skills and Knowledge:

  1. Professional experience using Salesforce or similar database systems is desired.
  2. Prior office/administration experience and strong organizational skills is required.
  3. Excellent oral and written communication skills in English is required.
  4. Ability to work well under deadlines while juggling multiple tasks simultaneously is required.
  5. Proficiency in computer packages including MS Office applications is required.
  6. Strong interest in international human rights social justice event management and fundraising.
  7. Strong interpersonal skills and the ability to communicate with a variety of audience.
  8. Pro-active mindset.
  9. Ability to prioritize with minimal supervision and work independently as well as function as a member of a team with staff in locations globally.

Other: Candidates must possess valid work authorization to live and work in the US; HRW is unable to sponsor work visas for this role.

The successful candidate must have access to a personal vehicle to travel to and from events occasionally transport visiting colleagues locally and on occasion between Santa Barbara and Los Angeles.
