Purpose: The Transportation Secretary assists the Transportation Director with the efficient operation of the transportation department by coordinating clerical support in the front office; works closely with administration staff students and parents.

Educational Requirements:
- High School diploma or equivalent.
Experience:
- Experience using computers telephones photocopy machines fax machines and other office equipment.
- Experience with word processing spreadsheets databases and other clerical software.

- Ability to understand and follow complex oral and written instructions.
- Ability to perform responsibilities without necessity of close supervision.

Functions And Responsibilities:
- Record and maintain accurate transportation data for all the students in PowerSchool.
- Answer and transfer incoming calls; send and receive faxes; handle radio communications with drivers.
- Ensure all visitors to the transportation department are greeted and appropriately identified.
- Coordinate office and clerical support to assist with the efficient operation of the transportation department.
- Screen and route incoming mail; properly prepare outgoing mail.
- Coordinate as necessary with secretaries and administrators of schools for transportation needs of students.
- Assist Transportation Director in monitoring all the bus drivers route in the morning and in the afternoon and check if any sub-drivers are needed.
- Assist Transportation Director in organizing routes for the bus drivers for pre-school regular and special-ed. students.
- Ensure that incoming invoices for transportation expenses are submitted to the district office in a timely manner for payment.
- Maintain accurate record of mileage incurred for Professional Development Activities field trips and other student activities.
- Assist Transportation Director in sending student conduct reports to principals.
- Schedule vehicles and drivers for field trips and activities as approved by the director.
- Maintain accurate filing systems for student staff and administration of the transportation department.
- Prepare correspondence reports lists envelopes and similar routine material as assigned.
- Coordinate with administrators building secretaries other staff and parents to cover transportation needs for district staff and students.
- Prepare transportation reports for district office as needed.
- Assist Transportation Director in the preparation of transportation information for state reports and audits.
- Perform other duties as assigned by the Transportation Director.
Physical Requirements/Environmental Conditions
- Requires prolonged sitting or standing.
- Requires physical exertion to manually move lift carry pull or push heavy objects or materials.
- Requires stooping bending and reaching.
- Must be able to adapt to a fast-paced multi-faceted office environment.
