Job Description

We are currently seeking a detail-oriented and proactive Legal Assistant to join our team. This role is ideal for someone who thrives in a fast-paced legal environment and is passionate about providing exceptional administrative support.

Key Responsibilities:

  • Maintain adherence to the firms Bring Forward (BF) system.

  • Manage client billing processes including preparing pre-bills coordinating monthly billings and reviewing WIP and aged A/R lists to support effective billing and collections.

  • Follow up on accounts receivable.

  • Handle incoming and outgoing communications (telephone email mail) ensuring timely and professional message delivery to lawyers.

  • Process courier shipments and maintain organized filing systems (paper and electronic) in accordance with firm policies.

  • Ensure client files are current properly maintained and closed regularly coordinating with office clerks for off-site storage.

  • Facilitate conflict searches.

  • Accurately input lawyers time records and coordinate administrative tasks such as scheduling meetings preparing materials and managing calendars.

  • Assist with lawyer invoices ensuring accuracy of time entries and other details prior to approval.

  • Perform various assistant functions including scanning documents and processing expense claims.

  • Collect client payment information (e.g. wire transfers) and requisition trust and general cheques as needed.

  • Review and prepare trust statements.

  • Open client files with proper identification and obtain initial deposits.

  • Prepare retainer agreements and obtain client signatures.
