Job Description

Primary Role: Support admissions retention and student success in the School of Nursing and the School of Health Sciences. These services include recruitment student orientation student success activities academic advising for pre-nursing nursing-interested and Health Sciences students and compliance with campus and school policies Indiana State Board of Nursing Indiana Department of Health and accreditation standards.

Primary Duties and Responsibilities:

Advising

  • Provide academic advising for pre-nursing nursing-interested and in-program nursing students and Health Sciences students including their academic plans and progress academic schedule choice of major and other academic activities and career goals to assist the student in making decisions concerning personal educational goals leading to graduation.
  • Maintains most current knowledge of health certifications and nursing program admission criteria application process and program handbook.
  • Provide appropriate documentation to students for the criminal background check drug screening and required health forms.
  • Perform confidential Indiana State Police background checks for CNA and QMA students.
  • Prepare organize and maintain site applications and approvals for Indiana Department of Health CNA/QMA Programs including CNA/QMA Affiliation Agreements.
  • Stay current on Indiana Department of Health requirements for certifications trainings and grant opportunities.
  • Collaborate with CNA/QMA Testing Center for certification testing application submissions payment processing and serve as liaison as a resource for community partners
  • Direct students to appropriate financial assistance programs and wrap-around services as needed.
  • Demonstrate strong commitment to student development and success through advocacy positive attitude adaptability approachability problem solving and support.
  • Demonstrate developmental academic advising that assists students in clarifying personal and academic career goals through the use of appropriate student development human development and student learning theories.
  • Assist students in interpreting and understanding placement scores program curricula and pre-requisites etc.
  • Assist students in gaining a basic understanding of the Colleges registration process and processes that need to be completed prior to the beginning of each semester.
  • Maintain current knowledge of the institutions academic programs curriculum practices and academic and student policies.
  • Coordinate with other Student Affairs and Academic Affairs areas to ensure accuracy of advising materials distributed to students faculty and staff.
  • Manage academic advising case load in a manner that promotes retention persistence and student success through proactive interactions and interventions.
  • Monitor student progress through regular meetings communications interventions assessments and data collection
  • Utilize a communication plan to engage the college community in the academic advising process.
  • Engage in behaviors that create an inclusive environment in which all people are valued supported and respected.
  • Serve on the Admission Progression and Graduation committee as an ad hoc member.
  • Maintain student records in compliance with campus and school policies accreditation Indiana State Board of Nursing and Indiana State Department of Health standards.

Student Success/Retention

  • Manage tracking recruitment enrollment and completions for nursing interested and in-program nursing students in collaboration with dean/chair.
  • Manage tracking for recruitment enrollment and completions for CNA QMA Phlebotomy and other health programs.
  • Provide ongoing touch point communication with students interested in certification courses to increase potential for student enrollment
  • Monitor Indiana State License Registry for licensing verification. Analyze and follow up on missing results.
  • Oversees campus nursing Peer Mentor program.

Recruiting

Represent the campus and college at external community events working with the Enrollment and Recruitment teams as well as faculty staff students and partners to effectively promote and market the schools programs.

Assist with on-campus school visits and programming in collaboration with the Enrollment and Recruitment teams.

Serve as a primary point of contact for the registrar business office financial aid and other offices for the dissemination of information or resolution of issues.

External relationships

  • Develop and maintain relationships with community partners for recruitment efforts for the School of Nursing and the School of Health Sciences
  • Participate in Nursing and Health Care Specialist Advisory Committee meetings twice per year

Nursing admissions

  • Provide information regarding the admissions applications.
  • Schedule and host synchronous nursing information sessions.
  • Respond to calls emails and other communication regarding nursing admission.
  • Meets with prospective students to discuss admission requirements and review prerequisite course completion.
  • Provides most current information on how to schedule ATI TEAS testing.
  • Works with administrative support and school dean to facilitate registration and orientation of selective admission students.
  • Review application documents for approval or rejection within online application system and provide communication to students of corrections needed.

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA) other applicable regulatory requirements and professional standards.

Other Requirements:

  • Interpersonal skills attention to detail and the ability to handle major projects simultaneously are required.
  • Strong written and verbal communication skills as well as excellent presentation skills.
  • Strong computer skills are essential including but not limited to: Microsoft Office text messaging systems virtual applications (Zoom Teams etc.) GoogleDocs etc.
  • Goal-oriented and self-starter who is able to work effectively without much supervision.
  • Must demonstrate ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees and which every individual feels respected and valued.
  • Develop and maintain positive relationships with staff faculty and administrators
  • Actively participates in professional development opportunities and professional organizations as well as campus and College committees

Qualifications:

Bachelors degree required or associates degree with approved academic plan for matriculation to bachelors degree. One (1) year clerical experience. Two (2) years of experience in applicable student support role.

  • Excellent organizational communication human relations and self-directed work skills within a team environment and ability to keep information confidential.
  • Medical terminology knowledge preferred.
