PART-TIME SUPERVISOR ENTERTAINMENT SPECIAL EVENTS

What you get to do:

This role is a Part Time Special Event Entertainment Supervisor role with duties in event development event quality assurance event safety and event venue operations. This role will assist in maintaining ongoing and overall safety/quality of Busch Gardens Williamsburg as well as being responsible for the daily operation maintenance and integrity of specific event product in the park. Also as a key role in the event planning process this position requires general knowledge of various hospitality coordination and exceptional time and project management skills.

In this role you will also be responsible for:

  • Working with the supervisor to execute all internal and externally booked special events with Busch Gardens Williamsburg.

  • Communicating all pre-determined event details as agreed upon between the park and the client and serves as client liaison on the day of the event.

  • Implementing on-site logistical set up and breakdown elements of all special events both on property and off property including festivals member events picnics youth events corporate events military events concerts and contracted entertainment.

  • Working with the Full Time Entertainment Supervisor to help create detailed schedules/line grids and prospectus documents for daily park operation as well as inputting team schedules into the online scheduling platform.

  • Ensuring excellence in customer service by responding to customer requirements expectations and needs before and day of the event.

  • Communicating professionally and effectively with vendors guests and Busch Gardens Williamsburg ambassadors.

  • Attending scheduled meetings regarding booked Special Events in the park and off property.

  • Collaborating with all parkwide departments on various needs for all special events (Park Operations Teams Marketing and Group Sales Teams Culinary Teams Merchandise Teams Entertainment Teams and all outside Event Contractors/Clients

  • Strong written and verbal communication skills through email communication site visits and phone calls.

  • Ensuring Park theming and signage is consistent with overall park quality expectations.

  • Following department and park safety guidelines to ensure a safe environment for all clients and their guests.

  • Maintaining cleanliness of all greenrooms and backstage areas being used by the Special Events team.

  • Assisting in other duties as assigned that support park and departmental goals and objectives.

Performing administrative responsibilities such as:

  • Banquet Event Order tracking event calendar updates spreadsheet documentation budget tracking punch lists event recaps and providing additional Entertainment and Marketing/Group Sales support as needed.

  • Maintaining SEA quality and integrity for assigned Entertainment Marketing and Busch Gardens Williamsburg product and demonstrating consistent professionalism in all work aspects.

  • Utilizing standard procedures to track and document positive and negative behaviors administering feedback sessions and evaluations in a timely manner.

  • Acting as the point-of-contact for internal and external departments both before during and after an event day.

  • Performing various tasks for assigned venue(s)/area(s) to include but not limited to attending meetings monitoring teams schedules checking/responding to email in a timely manner creating/maintaining personal & venue calendars and assisting guests when necessary.

  • Performing other duties as assigned.

What it takes to succeed:

  • A High School diploma or equivalent.

  • Theme Park experience preferred but not .

  • Event and Hospitality Management Theatre Arts or equivalent professional experience

  • Special Event/Stage Manager/Project Management experience preferred.

  • Demonstrated ability to lead a team and work well with others with strong organizational & time management skills.

  • Strong computer skills with an emphasis in Microsoft Office: Word PowerPoint and Excel OneDrive

  • Working knowledge of the English language with excellent verbal and written communication skills.

  • Ability to walk and stand for long periods of time in extreme weather conditions.

  • Must be willing to work a flexible schedule which includes weekdays weekends evenings and holidays.

  • Ability to multitask while maintaining a positive attitude to ensure excellent guest service.

  • Ability to work as a team player communicate and resource with internal and external ambassadors.

  • Consistently practices safe work habits including but not limited to the use of personal protective equipment lifting and reporting of unsafe situations.

  • Willingness to comply with and ensure ambassadors comply with all SEA grooming guidelines and employment standards.

  • Ability to successfully complete all legal company and department training requirements to include but not limited to passing required tests and certifications within established timelines.
