Job Title: Receptionist
Work Location: Irvine CA 92612
Hours: 8:30 am - 5:30 pm M-F 40 hours
Assignment Duration: 5 months Extension
Possible for extension Yes Overview of Work Environment/Client Nuances/Team Overview: - The resource will be responsible for a range of front office and administrative support tasks to ensure smooth daily operations and a welcoming office environment.
Resources typical working day: - Reservation Coordination
- Managing meeting room bookings and ensuring availability for scheduled appointments
- Coordinating reservations for internal and external guests as needed
Office Amenities & Setup - Ensuring meeting rooms are properly set up with required amenities
- Monitoring and restocking pantry snacks and supplies
- Assisting with general office maintenance and cleanliness
Visitor Management - Handling visitor check-ins and ensuring proper registration
- Providing assistance to guests and directing them to appropriate contacts
Catering Support - Coordinating with catering services and guiding them on where to set up within the office
- Assisting with food deliveries and ensuring proper placement
Mail and Package Handling - Receiving tracking and distributing incoming packages
- Managing outbound mail and courier requests
Reception Duties: - Answering and directing phone calls
- Responding to general inquiries from clients and employees
- Supporting administrative tasks such as filing scheduling and documentation
Facility Support - Loading and unloading the dishwasher
- Cleaning and organizing common areas
- Assisting with maintenance requests and coordinating with building services
Employee & Client Assistance - Providing support for employee or client needs related to office logistics
- Ensuring a professional and helpful front desk presence
Must-Have Skills: - Strong communication skills
- Excellent organizational abilities
- Comfortable working with new technologies
- Flexible in handling various tasks and situations
- Adaptable to changing environments and priorities
Nice-to-Have Skills: - Willingness to learn and explore new technologies
- Basic understanding of digital tools or platforms
Years of Experience: At least 2 years or more in a receptionist or front desk role.
Education: High School Diploma or GED equivalent
Software Skills: - Microsoft Office Suite (Word Excel PowerPoint etc.)
- Experienced in Outlook for email and inbox management
- Skilled in calendar scheduling and coordination
Interview Process: 1st virtual interview and/or 2nd onsite interview
Summary: - As a CBRE Receptionist you will provide administrative tasks to a department or office.
- This includes greeting and assisting visitors answering calls setting up and maintaining meeting rooms some housekeeping tasks and other duties.
