Job Title: Bookkeeping & Finance Assistant

Position Summary:
The Bookkeeping & Finance Assistant supports the Finance Department by maintaining financial records processing requisitions and purchase orders preparing payments and performing general bookkeeping and clerical duties. This role ensures accurate financial documentation and efficient administrative support across departments.
Key Responsibilities:
- Maintain financial logs including requisitions and purchase orders.
- Issue requisitions and purchase orders to appropriate parties.
- Prepare invoice listings for payment authorization and verify coding.
- Prepare checks for authorized signatures.
- Post entries to general and subsidiary ledgers.
- Prepare cash receipts for all bank accounts.
- Compute and process travel advances.
- Maintain journal entries and financial records.
- Organize and manage accounts payable and receivable files.
- Generate statistical reports charts and graphs.
- Perform secretarial and bookkeeping tasks.
- Screen phone calls and incoming mail; route appropriately.
- Perform other related duties as assigned.
Qualifications:
Skills & Knowledge:
- Basic bookkeeping and accounting principles.
- Proficiency in financial recordkeeping and data entry.
- Ability to prepare reports and maintain organized files.
- Strong attention to detail and accuracy.
- Effective communication and organizational skills.
- Familiarity with office equipment and software (e.g. spreadsheets word processing).
Requirements:
- Ability to work independently and as part of a team.
- Must be able to handle confidential information with discretion.
- Physical ability to perform job duties safely and effectively.
