Description

Position Summary

The Director of Campus and Community Events serves as a crucial role in the planning managing and executing of both internal (campus) and external (community) events. This position will direct and coordinate all campus events requested by University offices personnel and student organizations; coordinate all special events held on campus requested by non-University groups.

Essential Duties and Responsibilities

The essential functions include but are not limited to the following:

  • Oversee all external client inquiries and event booking and work with staff and university departments to effectively plan for and deliver services requested by clients.
  • Review and develop operating procedures for events and work closely with faculty students and other campus departments to execute successful programs events and functions on behalf of the University.
  • Serve as a consultant to campus constituents for conferences and events.
  • Develop and implement revenue generating programming for the University.
  • Coordinate and manage all summer camps.
  • Prepare event and conference contracts maintain communication with event organizers during and after event and follow up with billing.
  • Manage and monitor the implementation of conferences camps and events.
  • Maintain relationships among University departments whose participation is essential to an effective events program.
  • Work with Marketing to develop a marketing plan and oversee marketing strategies to stimulate growth and increase sales.
  • Provide oversight and maintain a comprehensive centralized scheduling system.
  • Assist with (and manage when assigned) University events.
  • Supervise event/department staff including the Postal Clerk and student workers
  • Manage and maintain budgets associated with department and events
  • Serve on various committees at the University as assigned

Required Qualifications (Knowledge Skills and Abilities)

Must understand and support the Mission Vision and Code of Ethical Conduct of Walsh University as a Catholic higher education university as expressed in Ex Corde Ecclesiae and possess the following:

Education: Bachelors degree required

Work Experience: Proven experience (3-5 years) in leading and managing events especially large-scale multi-stakeholder events preferably in higher education or non-profit settings. Experience with coordination of logistics budget oversight and contracts. Experience managing event staff including student workers.

Skills and abilities:

  • Professional demeanor and ability to interact with charity towards students staff and faculty. Positive attitude a must.
  • Strong project management skills including planning time management and multi-tasking ability.
  • Excellent written oral and interpersonal skills.
  • Proficiency with PC applications such as Microsoft Office and Eventbrite technology such as AV equipment.
  • Ability to attend events and activities on or off campus.
  • Ability to interact communicate and build relationships with members of the University community and others as necessary.
  • As needed: ability to work any part of the day or week including early mornings evenings overnight hours weekends and holidays.
  • Familiarity with the structure and culture of colleges or universities is helpful
  • Ability to anticipate event challenges and handle crisis calmly and proficiently

  • Stand for long periods of time and work indoor and outdoor events at various times of the year. Ability to twist; lift carry push and pull objects that weigh up to 20-30 pounds occasionally
  • Perform required duties on campus sit perform desk-based computer tasks; use fine manipulation and grasp; use a telephone and other technology or tools; write by hand; sort and file paperwork which requires fine motor skills.
  • Reading printed and digital materials and effectively communicating with students and colleagues.
