Salary may be negotiable within the range listed above based on position requirements and successful candidates qualifications subject to appropriate authorization.

THIS RECRUITMENT IS AGENCY PROMOTIONAL
This recruitment will establish an agency promotional eligible list. The eligible list established through this recruitment will beused to fill current and future Secretary III vacancies for the District Attorney. This recruitment may also be used to fill positions in similar and/or lower classifications.
This recruitment is open to current Orange County District Attorney employees only.

DISTRICT ATTORNEY-PUBLIC ADMINISTRATOR
TheOrange County District Attorney-Public Administrator (OCDAPA)represents the People of the State of California in criminal and civil proceedings serves the court and criminal justice system and the Orange County Grand Jury. The mission of the Office of the Orange County District Attorney is to enhance public safety and welfare and to protect and respect crime victims and to create security in the community through the vigorous enforcement of criminal and civil laws in a just honest efficient and ethical manner.

THE OPPORTUNITY
This position within the Administrative Division of the Orange County District Attorneys Office entails providing secretarial and administrative support to the Director of Administrator and the Director of Operations.

The major responsibilities of the position include but are not limited to:

  • Coordinating office management activities such as scheduling meetings managing multiple calendars and assisting supervisors in tracking and prioritizing tasks and deadlines.
  • Undertaking administrative and office services tasks efficiently.
  • Executing complex clerical work with precision.
  • Reviewing and interpreting policy and administrative regulations as necessary.
  • Drafting and preparing correspondence under the direction of superiors.
  • Reviewing and proofreading documents for proper format and grammatical accuracy.
  • Acting as a liaison between managers and their subordinates facilitating effective communication.
  • Fulfilling any additional duties as assigned by supervisors.
DESIRABLE QUALIFICATIONS
The ideal candidate will have at least three (3) years of secretarial and at least six (6) months of experience providing secretarial support to high-level managers. The ideal candidate will demonstrate experience in the following core competencies:

Technical Knowledge Administrative Support Experience
  • Correcting English usage spelling vocabulary and punctuation.
  • Proficiency in MS Office Suite applications including Outlook Word Excel PowerPoint and Teams.
  • Writing technical reports and documents proficiently.
  • Maintaining and managing pertinent information by creating reports memos correspondence spreadsheets presentations and other related documents using current computer systems.
  • Performing complex record-keeping with attention to detail and a high level of accuracy.
  • Being a team player capable of multitasking managing competing priorities and completing assignments in a timely manner.
  • Exercising sound judgment and discretion in handling confidential information as required by the assignment.
  • Reading and interpreting complex policies regulations and guidelines.
Calendar Management Time Management
  • Ability to multitask and demonstrate initiative.
  • Managing and maintaining multiple executive calendars using Microsoft Outlook.
  • Coordinating and scheduling meetings and travel arrangements.
  • Utilizing schedules project plans agendas and other planning and organization tools to accomplish tasks and meet all deadlines.
Interpersonal Skills Collaboration
  • Interacting and communicating professionally and courteously with internal and external customers.
  • Anticipating the needs of management staff and providing proactive administrative support.
  • Effectively following written and oral instructions.
  • Establishing and maintaining professional working relationships with executives managers and other staff within the department and external agencies/constituents.
  • Exercising discretion and an appropriate sense of urgency in handling confidential and/or sensitive information.

RECRUITMENT PROCESS
District Attorney Human Resources will screen all application materials for minimum and/or desirable qualifications as noted above on the job announcement. Eligible List
Once the assessment has been completed HRS will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.
