Job Description

We are an independent wealth management firm seeking a Client Service Associate to assist us in our mission of helping clients achieve their financial goals. We have three offices across Texas and while this role will be based in our North Houston office our team works closely together to support our clients and each other every step of the way. The successful candidate will be excited about our industry eager to further their career and always ready to help wherever needed.

Being the primary client service team member within our office you will play a crucial part in servicing maintaining and enhancing the strong relationships built with our clients. Whether you are answering phones completing paperwork opening new accounts handling service requests scheduling meetings or preparing for them you approach each task with a client-first mindset and an unmatched level of accuracy and addition to having a strong working knowledge of industry software systems and processes you are exceptionally organized detail-oriented and committed to delivering a smooth confidence-inspiring experience with every client interaction. You are proactive naturally curious and take pride in your work. You are always striving to be better and do better consistently seeking ways to take tasks off the advisory teams plate so they can focus on financial planning meeting with clients and delivering value.

Responsibilities & Activities

  • Greets clients and prospective clients in a friendly and sincere manner making them feel comfortable when they visit the office
  • Acts as first line of response for incoming calls generally handling 30-60 calls per day
  • Supports client onboarding and new account processes
  • Prepares and produces back-office support demands for basic client account requests
  • Preparation of annuity reviews as well as execute new annuity account openings
  • Facilitates client instructions including forms and follow up
  • Communicates and follows up regularly with clients about changes to their accounts
  • Summarizes meeting notes and schedules action items in contact management software
  • Handles calendars for multiple advisors scheduling and confirming appointments
  • Maintains accurate client information in CRM; develops and maintains written documentation (systems) of all activities
  • Adheres to all compliance/risk procedures follows corporate and industry protocols and protects the interest of the client and the firm at all times
  • Performs clerical duties such as scanning e-filing coordinating with outside vendors and sorting and distributing mail
  • Performs other duties as assigned

Knowledge Skills & Abilities

  • High School Diploma or GED required; Bachelors degree highly preferred
  • 3 years of financial services experience supporting one or more financial advisors highly preferred
  • SIE Series 7/66 preferred or the desire to obtain
  • Industry-specific software/platform experience required; Osaic knowledge highly preferred
  • Excellent attitude and an extraordinary client service orientation
  • Superior phone skills friendly and helpful in all interactions on the phone
  • Ability to prioritize and handle a variety of changing responsibilities and manage time-sensitive projects with specific attention to detail
  • Excellent organizational and time management skills and ability to multi-task
  • Professional demeanor
  • Advanced level computer skills with the ability to type 50 wpm required
  • Attendance is an essential function
