Pay Range: $26-$28/hour

Job Summary


The Talent Care Specialist at Home of Guiding Hands is responsible for managing the candidate and new hire experience from interview scheduling through onboarding. This includes ensuring timely and consistent communication with candidates supporting hiring managers with accountability in interview and hiring timelines and managing onboarding logistics up to the first day of employment. The Talent Care Specialist plays a key role in delivering a positive efficient experience for new hires and supporting hiring managers in aligning with recruitment processes and standards.

Tasks Duties and Responsibilities

  • Own the applicant process from interview scheduling through the first day of employment ensuring seamless communication and support throughout.
  • Collaborate with hiring managers to maintain timely feedback consistent communication and follow-up with candidates utilizing Paycom/UKG for tracking and updates.
  • Conduct new hire orientation sessions and ensure completion of all onboarding documents in compliance with state and federal regulations including I-9 and DHS guidelines.
  • Knowledge in HR audits and compliance regulations for state and federal agencies.
  • Track metrics to identify hiring and process trends.
  • Provide guidance and support to hiring managers on interview scheduling timely candidate feedback and consistent candidate communication.
  • Ensure accountability for hiring managers to meet recruitment timelines enabling an efficient and structured hiring process.
  • Act as a resource for hiring managers on best practices for candidate communication and onboarding expectations.
  • Maintain accurate employee records including creation and management of new hire packets and collection of all necessary forms.
  • Ensure compliance with confidentiality privacy laws and HIPAA guidelines in all recruitment and onboarding documents.
  • Oversee background checks and drug screenings facilitating communication between departments and candidates.
  • Interpret and apply policies in line with the employee handbook and federal/state regulations providing information to hiring managers and candidates as needed.
  • Communicate any process or policy updates relevant to new hires and hiring managers ensuring clarity in procedures and expectations.
  • Participate in special projects related to talent acquisition and onboarding processes as assigned.
  • Assist with talent satisfaction surveys and related initiatives to improve the onboarding experience.

Knowledge Skills and Education


  • HR-specific training or certifications such as a SHRM/HRCI certificate or coursework in recruitment or onboarding is a plus.
  • 2-3 years of relevant experience in human resources talent acquisition or customer service. Familiarity with onboarding recruitment or administrative tasks is beneficial.
  • Strong background in handling HR paperwork such as I-9 verification and a basic understanding of employment compliance requirements.
  • Professional communication skills both oral and written with the ability to engage effectively with internal and external stakeholders.
  • Proficiency in MS Office (Outlook Word Excel) and experience with applicant tracking systems specifically Paycom.
  • Strong organizational skills high attention to detail and a sense of urgency with the ability to manage multiple tasks simultaneously in a fast-paced environment.
  • Ability to follow instructions established guidelines and procedures while upholding company policies and state/federal regulations.
  • Responsible for maintaining confidentiality regarding employee files background check results and other sensitive information.

Physical Requirements/Work Environment


  • Ability to sit stand and walk as needed with occasional lifting of up to 25 pounds.
  • Primary work environment includes ambient room temperatures standard lighting and traditional office equipment.
  • May require occasional travel for recruitment events orientations or meetings at other HGH locations.
