About the Team
People Shared Services (PSS) unites key People functionsincluding Talent Operations Onboarding Payroll People Programs People Experience Workplace & Facilities Global Security Health & Safety People Analytics and People Systems & Solutions. Our team delivers seamless transactional People services optimizes processes ensures global compliance and builds scalable tech-enabled solutions across the candidate and employee lifecycle. We partner closely with other People functions to streamline communication documentation and programsalways with a people-first automation-driven mindset.
As part of the People Systems & Solutions team we support PSS as strategic advisors and subject matter experts for People systems and project management. We oversee the PSS project portfolio ensuring governance prioritization and smooth execution of People-related initiatives while guiding the organization through system implementations and process improvements.
About the role
The Project Management Specialist plays a key role in supporting successful planning execution and closing of projects within the organization. This role works closely with program managers cross-functional teams and stakeholders to keep projects on track. The Project Management Specialist will coordinate resources monitor timelines manage end-to-end risk management
What you will be doing
- Assist in defining project objectives scope deliverables and timelines in collaboration with the SME and stakeholders.
- Coordinate resources across departments to ensure that project needs are met effectively and efficiently keeping all team members aligned.
- Monitor project schedules track milestones and proactively identify and resolve and risks or delays
- Maintain accurate and up-to-date project documentation including meeting notes status reports project plans and change requests.
- Facilitate clear communication across project teams and stakeholders ensuring all parties are informed about project progress and changes.
- Identify and assess potential project risks and assist in developing mitigation strategies. Escalate significant risks to project managers and leadership when necessary.
- Ensure that project deliverables meet established quality standards and that all project requirements are fully met before closing.
- Identify opportunities to improve project management processes and support the adoption of best practices within the team.
- Provide ad hoc assistance to organize PSS and project management related resources manage shared resources and maintain page organization for accessible and up-to-date project information across platforms.
Were excited if you have
- 2-4 years of experience in project management support or coordination roles.
- Proficiency with project management tools (e.g. Confluence Jira) and Microsoft Office Suite.
- Strong attention to detail and exceptional organizational abilities to manage multiple tasks and priorities in fast-paced environments.
- Ability to identify potential challenges and proactively develop solutions to keep projects on track.
- Excellent communication and interpersonal skills to work collaboratively across teams and with stakeholders.
