Job Summary
Provides clerical and administrative support to assigned resident care areas. Responsibilities include managing traffic flow maintaining resident records coordinating admissions transfers and discharges arranging transportation and ensuring adequate supply levels. Serves as a primary communication link among residents families and healthcare staff.
Essential Job Functions
Unit Operations & Clerical Support
- Perform receptionist recording filing and clerical duties using medical terminology.
- Coordinate paperwork and traffic flow; process forms physician orders test results and medical histories.
- Maintain and update resident records; deliver and retrieve materials between departments as needed.
- Schedule transportation and physician appointments.
- Maintain adequate unit supplies.
- Answer telephones and intercom take and relay messages and ensure communication flow.
Records Management
- Process and route resident record materials in compliance with facility and mandated requirements.
- Regularly review and correct records for accuracy and completeness.
- Maintain chart order and initiate/update maps daily.
Resident & Family Support
- Greet and assist visitors families and residents.
- Procure and requisition equipment and supplies per resident needs.
- Communicate with departments regarding resident needs.
- Transport residents and resident care materials as required.
- Assist with lifting transferring and one-to-one observation as delegated.
- Respond to customer questions and concerns or direct to appropriate resources.
Qualifications
Educational / Minimum Requirements
- High School Diploma.
- Clerical experience in a healthcare environment preferred.
Mandated Requirements
- General orientation at hire.
- Annual Fire Safety and Infection Control training.
- Other programs as mandated by Ingraham Manor.
Special Requirements
- Superior customer service telephone and interpersonal skills.
- Knowledge of medical terminology typing and data entry.
- PC literacy preferred.
- Ability to prioritize multiple tasks.
Physical Requirements
- Occasional sitting with extended bending reaching stooping and walking.
- Prolonged computer use.
- Lift up to and over 50 lbs.
- Ability to operate wheelchairs and stretchers with residents.
- Assist in lifting/moving residents.
Work Environment
- Resident care areas.
- Regular exposure to resident elements.
Cognitive Requirements
- Strong clerical organizational and communication skills.
- Ability to follow multi-step written and verbal directions.
- Fluency in English.
