Required Education High School Diploma or equivalent
Required Experience Customer service experience (phone in-person or counter-based). Comfortable using computers POS systems and vendor portals. Strong communication skills and ability to remain calm under pressure. Previous parts experience highly preferred but not required. Needs to have experience selling parts counter sales shop experience. Customer service would be part of the job but experience in a shop environment counter sales technical experience inventory control is required.
The Parts Counter Associate is responsible for assisting customers and technicians with identifying sourcing and processing HVAC and refrigeration parts. This position is a blend of customer service and technical support requiring strong communication skills the ability to stay calm under pressure and comfort with computer systems and vendor platforms. Day-to-day work includes answering phones assisting walk-in customers researching parts across multiple manufacturers processing orders and returns and maintaining accurate inventory. This role does not involve upselling or sales quotas the focus is on delivering reliable service and keeping operations running smoothly.
Responsibilities
- Greet and assist customers technicians and walk-ins at the parts counter by phone and by email.
- Identify and source HVAC refrigeration and truck parts across multiple manufacturers and systems.
- Provide accurate information on part availability pricing and compatibility.
- Process orders returns and warranty claims in a timely and professional manner.
- Receive inspect and verify incoming parts shipments against purchase orders.
- Organize stock and maintain inventory; assist with cycle counts and restocking.
- Use POS ERP or vendor systems to enter track and fulfill orders.
- Maintain a clean safe and organized work environment.
- Support technicians with parts lookups and fulfillment requests.
- Participate in training programs to learn product lines and expand technical knowledge.
Qualifications
- High school diploma or equivalent required.
- Previous customer service experience (counter phone or in-person) required.
- Parts counter experience (HVAC automotive truck or heavy equipment) highly preferred but not required.
- Comfortable using computers POS systems and vendor portals.
- Excellent communication and problem-solving skills; able to stay calm under pressure.
- Ability to lift up to 50 pounds and remain active throughout the workday.
