This position is a limited duration anticipated to last 12 months though may be extended or decreased due to business need. Internal candidates may be considered as a job rotation with their current managers approval. This position is available for current regular status employees of the Oregon Department of Corrections Oregon Corrections Enterprises or Oregon Board of Parole Probation and Post-Prison Supervision.

About the Job Your Role

The Eastern Oregon Correctional Institution is offering a Limited Duration Work Out of Class (WOC) opportunity. This opportunity is for those internal employees interested in supporting the those interested in supporting Special Housing. This temporary assignment provides the chance to expand your skills gain valuable experience and support critical program operations within the institution.

What you will do.

As the Office Specialist 2 you will support the Institutions Special Housing by performing clerical and administrative support to Inmate Work Program (IWP) Coordinator. The selected employee will be responsible for maintaining daily program operations supporting AIC communications managing records and assisting in the coordination of special assignments such as the Nintendo Switch program and AIC education services.

Key Responsibilities

  • Process incoming and outgoing mail; respond to routine AIC communications; research information for the IWP Coordinator.
  • Log and track grievances tort claims and other routed matters; prepare draft responses for review.
  • Print distribute and record daily AIC attendance sheets; enter attendance work assignment changes and callouts into DOC400.
  • Review AIC work applications; assist with A&O Packets and AIC Newsletter review/distribution.
  • Research and submit purchase requests; maintain supply and equipment inventories.
  • File and maintain program records per retention schedules.
  • In the absence of the IWP Coordinator supervise up to 15 AIC workers including oversight of controlled tools and AIC flash drives.
  • Nintendo Switch Program: Coordinate with central office process orders and repairs distribute and track consoles and games and update AIC property records.
  • Education Support: Proctor exams schedule callouts for classes support BMCC New Directions and coordinate incentive computer use.

Other Duties

  • Provide back-up coverage for other OS2 positions.
  • Perform LEDS inquiries and Visitor Authorizations (LEDS certification required or ability to obtain).
  • Provide notary services (must be certified or willing to obtain).
  • Support institutional and family events including clerical tasks such as package authorizations and OMS updates.
  • Perform other duties as assigned.

This position is represented by American Federation of State County and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS) as defined by statute.

Minimum Qualifications

Two years of general clerical experience that includes keyboarding word processing or other experience generating documents; OR

An associate degree in any field;OR

An equivalent combination of education and experience.

Working Conditions

Most work is performed within the secure confines of a medium security correctional facility and requires daily contact with convicted male felons. There is an inherent risk of possible assault or being taken hostage. Physical exertion may be required in self-defense or in coming to the aid of a co-worker. Sitting operating computer equipment and being exposed to a video screen for extended periods of time are required. Incumbent must be able to climb stairs and walk moderate distances to and from the work site several times a day. Incumbent is subject to call-back during weekends holidays or after hours for emergency response. Incumbent may be subject to having work schedule changed to provide back-up coverage for other OS2 positions. Occasional stressful public contact interacting with hostile or unruly citizens AIC visitors or telephone callers may occur.

The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.
