    POSITION SUMMARY/CLASS DESCRIPTION:
    Under general supervision performs advanced technical level support work for the Budget Fiscal Section. This includes accounting functions such as invoice reconciliation and payment processing in the SAP ERP system.

    STARTING SALARY HIRING RANGE:
    $23.87 - $26.92
    $49650 - $55994


    CLASS DESCRIPTION:
    Performs advanced technical level administrative support work which may include supervisory responsibility under general supervision from an administrative or technical superior. Work typically involves administrative support technical tasks and secretarial work assisting legal staff or an executive level government official. Applies bookkeeping accounting and data processing principles to accounting and financial record keeping and reporting systems at the advanced technical level. Work at this level may also include independent responsibility for a significant administrative or clerical process.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Include the following. Other related duties may be assigned.

    Processes payments of purchase orders miscellaneous invoices and employee expense claims.

    Processes requests for items procured via purchase orders.

    Reconciles and codes monthly departmental credit card statements.

    Organizes and maintains electronic and paper files of purchases and payments.

    Coordinates departmental contract renewals with the Office of Purchasing.

    Ensures that all county procurement and payment guidelines are adhered to.

    Liaisons with multiple vendors and other county agencies.

    Responds to purchasing and payment inquiries from departmental personnel.

    Works to enhance and to improve processes and to increase efficiencies.

    Performs miscellaneous clerical tasks (filing creating folders and labels copying editing).

    Provides support for other members of the Section and components of the Department as needed.

    SUPERVISORY RESPONSIBILITIES:

    This position has no supervisory duties.

    MINIMUM REQUIRED EDUCATION/EXPERIENCE

    Associates degree and two (2) years of related experience or equivalent combination of education and experience.

    PREFERRED EDUCATION KNOWLEDGE SKILLS AND ABILITIES:
    Strong math skills.

    Proficiency in MS Office (Word Excel Outlook PowerPoint).

    Experience working in an ERP system preferably SAP.

    Critical thinker with excellent attention to detail.

    Strong document management skills.

    Ability to work well independently with accountability for proper task prioritization and completion.

    Considerable knowledge of office practices procedures and equipment.

    Demonstrated acceptable typing ability.

    Ability to maintain confidentiality and comply with all regulations and legal requirements.

    Ability to multi-task and effectively utilize time management skills on a regular basis.

    Ability to establish and maintain effective working relationship with others.

    LANGUAGE SKILLS MATHEMATICAL SKILLS AND REASONING ABILITY:
    The ability to communicate effectively is essential. Incumbent must effectively maintain contact with others including contacts with the public administrative entities and Federal and State personnel. Must be able to vary writing and reporting style according to recipient. Will be required to respond to telephone and in-person requests for information and documents.

    Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret bar graphs.

    Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
