Job Summary

The Patient Access Specialist plays a vital role in ensuring a positive experience for our patients and visitors by welcoming them with warmth professionalism and a smile. This position is responsible for providing seamless patient registration managing incoming inquiries handling payments and supporting clinic operations through efficient administrative processes.


Our Patient Access team helps patients navigate the check-in and check-out process while coordinating important information across departments. As a key part of our collaborative front office team the Patient Access Specialist is often the first and last impression of our practice making strong communication and interpersonal skills a must.


Essential Duties and Responsibilities:

  • Warmly greets patients and visitors in a prompt friendly and courteous manner to identify their needs and provide assistance.
  • Updates patient demographic and insurance information with accuracy ensuring all required forms are completed and documentation is current.
  • Reviews patient accounts and works with team members to collect copayments coinsurance and outstanding balances in a respectful and professional way.
  • Places patients with the most appropriate and suited provider based on appointment type provider availability and clinical need.
  • Schedules appointments tests referrals and coordinates follow-up care as needed while ensuring scheduling guidelines are followed.
  • Acts as a liaison between patients and clinical staff promoting clear communication and a positive experience.
  • Answers phone calls responds to inquiries and directs callers to the appropriate departments or resources.
  • Manages incoming documents and orders with attention to detail to ensure accuracy proper documentation and compliance with privacy standards.
  • Utilizes computer tools including the Epic EMR system to access charts verify information and manage patient scheduling and communication tasks.
  • Scans and sends medical records to appropriate physicians departments or staff as requested.
  • Requests medical records from outside facilities as needed.
  • Maintains compliance with HIPAA regulations and company standards at all times.
  • Supports team flow by assisting with front desk coverage schedule management and task delegation through our Buddy System.

Schedule

  • Monday through Friday 8:00 AM to 4:30 PM.

Qualifications

  • High school diploma or equivalent.
  • Previous experience in a medical office clinic or healthcare setting preferred.
  • Strong verbal and written communication skills with a commitment to providing inclusive patient-centered service.
  • Knowledge of medical terminology and administrative procedures is a plus.
  • Proficiency in using computers scheduling systems and office equipment.
  • Ability to multitask in a fast-paced environment while maintaining accuracy and professionalism.
  • Demonstrated ability to work effectively as part of a team and independently.
  • Ability to lift and carry up to 15 pounds.
  • Strong understanding of HIPAA guidelines with the ability to maintain strict confidentiality and privacy of patient information.
