GENERAL PURPOSE

The Real Estate Project Manager Lease Administrator & Program Manager is responsible for overseeing and executing core functions related to real estate projects lease administration and strategic programs. This multidisciplinary role ensures successful project delivery proficient lease management and implementation of business-driving initiatives through rigorous process oversight and cross-functional collaboration.

ESSENTIAL FUNCTIONS

The essential functions listed below represent primary job duties that incumbents must be able to perform unassisted or with reasonable accommodation.

REAL ESTATE PROJECT MANAGER

  • Project Planning & Initiation: Lead planning and initiation of real estate projects including site selection feasibility review budgeting scheduling and detailed project charters.
  • Budget & Financial Management: Develop manage and track project budgets. Monitor expenditures forecast costs and conduct variance analyses for fiscal discipline.
  • Invoice & Payment Processing: Track review and process project-related invoices; coordinate with vendors contractors and finance for accurate payment.
  • Vendor & Contract Management: Negotiate execute and oversee contracts with vendors contractors and firms finance department for accurate payment.
  • Project Execution: Manage all phases of real estate projectsdesign construction renovations relocationsmonitoring progress and maintaining quality standards.
  • Risk Management: Identify and mitigate project risks; proactively address challenges to maintain schedule and budget integrity.
  • Cross-Functional Collaboration: Engage internal and external partners to ensure project objectives align with stakeholder needs.
  • Documentation & Close-Out: Maintain complete project documentation; facilitate post-project reviews and lessons learned sessions.

LEASE ADMINISTRATOR

  • Lease Management: Administer leases amendments and critical dates ensuring data accuracy and organized retention.
  • Lease Abstracting & Reporting: Review lease agreements summarize for internal reporting and compliance and maintain lease databases.
  • Financial Tracking: Monitor rent schedules reconciliations and lease-related financial obligations; support invoice and expense processing.
  • Compliance: Ensure all lease operations adhere to firm policies and legal/regulatory requirements.
  • Tenant & Landlord Communication: Act as liaison for tenants landlords and internal departments to resolve lease matters and build positive relationships.
  • Renewals & Options: Track renewal/expiration dates; negotiate extensions options and coordinate renewal documentation.
  • Process Improvement: Review and enhance lease administration processes for accuracy efficiency and automation.

PROGRAM MANAGER

  • Strategic Initiative Leadership: Design launch and manage initiatives to enhance real estate and facilities programs and organizational objectives.
  • Program Design & Implementation: Set program goals establish success metrics and lead multidisciplinary teams to achieve milestones.
  • Performance Metrics & Reporting: Track key performance indicators; prepare and deliver updates to senior leadership via executive-level presentations.
  • Financial Planning & Analysis: Support program budgeting track expenditures and conduct financial analytics for sound cost management.
  • Process Reengineering: Lead efforts to optimize processes integrating industry best practices and supporting organization-wide adoption.
  • Cross-Functional Collaboration: Foster enterprise collaboration; serve as central contact for strategic program operations.
  • Change Management: Champion adoption of new policies systems and tools that drive program success across business units.
  • Risk & Compliance Oversight: Identify potential risks develop mitigations and ensure compliance with all relevant standards and regulations.

SPECIFIC SKILLS REQUIRED

  • Deep expertise in project management lease administration and strategic program leadership within a real estate context.
  • Strong budgeting financial tracking and analytic skills.
  • Advanced negotiation vendor management and contract administration abilities.
  • Familiarity with regulatory compliance and process improvement frameworks.
  • Exceptional communication and interpersonal skills.
  • Demonstrated ability to lead cross-functional teams and drive change.
  • Superior attention to detail organizational and documentation skills.

QUALIFICATIONS

  • Bachelors degree in Business Administration Real Estate Facilities Management Engineering or related field.
  • Minimum of 7 years relevant experience in real estate project management lease administration and/or program management.
  • Professional certification (e.g. Real Property Administrator (RPA) IFMA BOMA or Project Management Professional (PMP)) is a plus.

San Francisco Bay Area compensation range: $150280 to $234670 annually

Colorado compensation range: $ to $00 annually

Illinois compensation range: $124260 to $194040 annually

Los Angeles compensation range: $137120 to $214110 annually

San Diego compensation range: $135380 to $211390 annually

New York compensation range: $136620 to $213330 annually

Washington state compensation range: $124200 to $193940 annually

Washington D.C. compensation range: $134140 to $209460 annually
