Workforce Scheduling and Travel Coordination Specialist (Operations Planning Specialist)

Location: Dallas TX (Hybrid work location Dallas / Remote)

Catapult Health (Dallas TX) is in the business of empowering individuals to improve their health. We do this through next generation worksite preventative health checkups. Everyone on our team plays a critical part in delivering upon our mission. Our Operations Planning Specialist role is front and center! They work day in and day out with our staff to coordinate travel and addition they handle opening NP appointments for our patients. Sounds easy right But once you consider a typical day at Catapult Health involves hosting upwards of 10-20 clinics (at the employer worksite) a thousand patient consultations per day and managing the scheduling and travel for our staff of over 150 employees you can see why our Operations Planning Specialist role is kind of a big deal - - We would not be successful in hosting our clinics and consultations without them!

How you will make an impact:

  • Embrace and share our customer centric mindset through daily interactions with our employees and clients. You are our direct line to the front line! Be known as a positive change agent and creative problem solver as it relates to scheduling our clinics and team.
  • Plan and staff team members on clinics to execute a flawless event for patients at every client location.
  • Book and coordinate field team travel through the company travel booking tool to ensure we have the right people at the right time in the right location!
  • Manage utilization of team members to positively impact gross margin while balancing the level of service to internal and external customers.
  • Add Patient appointments into our scheduling system as assigned.
  • Timecard and expense approvals for Field Team and NPs as assigned.
  • Communicate and collaborate to share staff resources and best practices throughout the organization.
  • Exhibit strong organizational interpersonal and communication skills (written and verbal) in every interaction!
  • Recommend client event dates and timeframes to best utilize our team members and resources.
  • Be approachable and resourceful! In-person and electronic day to day interaction and communication with the Client Success team Human Resources team Supply Chain team Operations team Nurse Practitionersand Field teams are critical to our success. If we have a team here at Catapult Health you will be working with them.
  • Hold down the fort by participating in a scheduled rotational on-call emergency travel line providing after hours and weekend support as needed. As we move into our popular season on-call status will be more frequent sometimes requiring multiple team members support.

What you need to be successful:

  • 1 year(s) of experience handling extremely detail oriented workforce scheduling travel event coordination etc.. in a high-volume capacity. You could have experience in staffing logistics operations events etc!
  • Strong attention to detail ability to multitask and willingness to help are critical to the success of this position.
  • Strong sense of urgency / drive to be resourceful and excel.
  • Natural ability to see from different perspectives and balance the business and people side of the situation.
  • Naturally approachable and level-headed in stressful situations.
  • Our Operations Planning team participates in our Presence with Purposeprogram and as a result is required to work in our Dallas office every Monday Tuesday and Wednesday. Thursdays and Fridays are primarily remote; however occasional in-office attendance on these days may be necessary.
  • Normal Work Schedule is: Monday - Friday 9:00am - 5:30pm in addition to rotational on-call emergency travel line coverage providing after hours and weekend support as needed. As we move into our popular season on-call status will be more frequent sometimes requiring multiple team members support.
