Description

Walla Walla Community College is accepting applications to fill the role ofProgram Specialist 2 position for the WWCC Correction Education program located at the Coyote Ridge Corrections Center (CRCC) in Connell Washington. .

This position is filled to fulfill a contract awarded to Walla Walla Community College (WWCC) by theWashington State Board for Community and Technical Colleges (WSBCTC) to operate a correctional education program at CRCC in accordance with an interagency agreement with the Department of Corrections. Walla Walla Community College and its employees working in a correctional education program are expected to follow all Department of Corrections (DOC) Policies IT and other Security requirements follow DOC Operational Memorandums and comply with the Superintendents directions.

General Responsibilities:
This position prioritizes and performs administrative staff and faculty support duties under the general supervision of the Dean/Director of Corrections Education at CRCC. Independently performing a variety of complex clerical projects and assignments such as assist in developing and maintaining the department budgets and resale accounts (including SCP PELL and other grants). This position is responsible for accurate accounting and recommendations to the Corrections Education leadership team on updates or issues with both the corrections education contract budget and other funding sources. The primary purpose is to facilitate the administration of the Corrections Education Department.

Essential Functions:
Provide oversight for CRCC campus operations Business Office and funds management.


Provide administrative support to the CRCC Campus leadership team
  • Serve as a point of contact for college staff and facility staff.
  • Provide confidential support to the leadership team to include monitoring emails and responding when appropriate.
  • Establish and maintain effective communication with the College CRCC college staff and DOC personnel. Serve as a liaison between the leadership team college staff and DOC personnel.
  • Coordinate and monitor various types of training in Safety and Security PREA LMS trainings CORE Academy etc.
  • Track part-time faculty evaluations in compliance with CBA and notify leadership team of evaluations due.
  • Issue and track DOC approved and secure flash drives.
  • Maintain quarterly list of CRCC campus employees work location and hours and emergency contact information and provide to DOC staff quarterly for institution security requirements.
  • Coordinate with custody staff logistics of bringing in vendors tools and guests into the
  • facility.
  • Provide administrative support to the department as directed.
  • Ensure office has adequate supplies and equipment.

CTCLink Data and Student Records
  • Oversight of all CTCLink data pertaining to CRCC Basic Skills students and quarterly schedules.
  • Input registrations and admission forms for all Basic Skills students. Resolve problems that arise regarding grades and registrations.
  • Input registrations and admission forms for Second Chance Pell students. Collaborate in resolving problems that arise regarding Second Chance Pell funding grades and funding.
  • Act as backup for all AA and Vocational CTCLink data input and quarterly registrations.
  • Collaborate in building quarterly schedules for class building and payroll purposes.

Assist with Personnel & Security Practices
  • For new staff:
    • Prepare clearance personnel and payroll documents.
    • Establish DOC network account schedule for CRCC CORE training and/or security briefing and provide new staff with appropriate key chits and radio number along with key control and radio use training.
    • Request reactivation of DOC accounts as needed.
  • For exiting staff:
    • Collect staff/faculty ID badges chits and green cards at separation to be returned to their respective DOC departments.
    • Collect P-cards flash drives and any other WWCC items to be returned or destroyed.
    • Request deactivation or suspension of DOC accounts as necessary.
  • For existing staff:
    • Track annual clearance documents and submit to CRCC Records department when necessary.
    • Maintain quarterly list of CRCC campus employees work location & hours phone extensions and emergency contact information.
    • Monitor staff/faculty training progress in the DOC Learning Management System.
    • Coordinate appropriate clearances for faculty peer evaluators without a CRCC badge.

Space equipment supplies and property management
  • Submit facility requests for areas that need maintenance or repair.
  • Maintain inventory of equipment.
  • Determine need for general supplies office supplies equipment and furniture.
  • Coordinate with main campus purchasing representative surplus of non-essential equipment.
  • Checkout CRCC college vehicles.
  • Track receipts expenses and mileage logs of CRCC college vehicles.
  • Delegate and assign servicing and recall work for CRCC college vehicles

Perform a variety of related clerical duties
  • Maintain department records as outlined by State records retention guidelines.
  • Gather and/or supervise compilation of information from a number of sources and refer pertinent information to the Dean of Corrections Education.

Competencies


Required Qualifications:
Any combination of education experience and/or training that provides the applicant with the knowledge and skills to perform the job may be considered by the college.
  • Associates Degree and eighteen months (18) of responsible office experience at an advanced level. Any combination of education/experience may substitute at the discretion of the College.
  • Knowledge of basic administrative procedures office practices budget management and tracking and department policies.

Preferred/Desired Qualifications:
  • Associates Degree and four (4) years of responsible office experience at the senior clerical level or higher preferably in an educational or correctional setting.
  • Bilingual English/Spanish

Conditions/Terms of Employment

This classified position is in a bargaining unit for which WPEA Higher Ed is the exclusive representative.

Standard business hours are 40 hours per week Monday Friday from 7:30 p.m. to 4:00 p.m. with a half-hour lunch break. Incumbent may be expected to occasionally adjust the work schedule to meet business needs. Minimal travel may be required for occasional training.

This position is located inside the Coyote Ridge Corrections Center an adult male prison. Interacts daily with students (incarcerated individuals) instructors counselors DOC and WWCC staff. Successful candidate must have the ability to travel between on-site testing sessions with or without accommodations approx. 2-3 miles per day. Coyote Ridge Corrections Center is fully ADA compliant. Duties require the use of standard office furniture and equipment (e.g. desk filing cabinet computer printer telephone fax machine copy machine etc.).

The college has an excellent benefit program including medical dental life and long-term disability insurance; paid sick leave; paid vacation leave; and retirement plan. All full-time employees will automatically have 3% of taxable income deferred into the State of Washington Deferred Compensation Program (DCP) unless declined at time of hire. WWCC requires all employees to participate in direct deposit for payment of salary. The College is a tobacco-free campus.

Persons hired must be able to provide acceptable documentation of lawful authorization to work in the United States within three (3) days of employment and official college transcripts. WWCC participates in E-Verify and will provide the federal government with your Form I-9 information to confirm that you are authorized to work in the U.S. All Walla Walla Community College staff members employed at one of the Correction Education facilities must be cleared by an FBI background check before being hired into such positions and successfully complete a 3-week corrections training program. Information from the background check may not necessarily preclude employment but will be considered in determining the applicants suitability and competence to perform in the position.

Department of Correction positions are grant funded and funding is not guaranteed. Upon loss of grant funding the position will end. WWCC does not absorb the cost to fund DOC grant positions.
