Job Summary
Under co-supervision of the Senior Administrative Director and the Administrative Director the Research Compliance Associate in the Department of Molecular Biology (DMB) will integrate between the operation and grant teams with major responsibilities focused in two interconnected areas:
(1) research compliance and safety and (2) management of funds supporting those two functions.
The incumbent is an interstitial member of the department staff who will work closely with the entire staff to facilitate the effective safe and compliant conduct of research in the Department of Molecular Biology.
Compliance:
- Act as a liaison between departmental faculty/researchers and the hospital/MGB compliance offices (Biosafety Radiation Safety Laser Safety IACUC ESCRO IRB etc.) to ensure that labs have the proper permits/protocols in place and that those permits/protocols are current.
- Ensures that the research community is compliant with federal state and local laws and regulations as well as Hospital policies. Work with outside agencies to obtain proper documentation and licensing when needed (USDA USCBP DEA MA DPH etc.).
- Facilitates the transfer of equipment and materials into and out of the department coordinating the transfer with MGH and MGB offices (TAG Licensing Export Control Supply Chain RSMG).
- Works with the department operations manager(s) to update the internal database of equipment inventory when equipment is released from the institution and purchased into.
- Works with departmental researchers and MGB Research Management to set up Collaboration Agreements. Contributes to technical specs and SOW.
- Works as a liaison between Faculty and Research Management/Innovations to facilitate special use agreements such as confidential disclosure agreements (CDA) nondisclosure agreements (NDA) sponsored research agreements (SRA) and data use agreements (DUA).
- Manages the departmental exit process integrating it with the MGB Transfer Out procedure. Track exit documents as they work their way through the process and upload into departmental database as they become available.
- Acts as an advocate in department compliance by proactively troubleshooting and communicating with appropriate institutional compliance groups.
- Collaborate on developing internal and external trainings on a variety of compliance topics including risk assessment process invoice disbursement and expense report compliance review monitoring activities policy and procedure implementations and related award compliance activities.
- Helps to streamline related processes and troubleshoot online technical system.
- Participate in Compliance Committee in collaboration with the Grants & Contracts team.
- May sit on institutional committees as a representative for departmental needs.
- Implements special projects at the request of senior leadership.

- Unfunded Collaborations and Sponsored Project Requirements as it relates to Foreign Component and Data Management Sharing as well as Other Support and Resource Reporting
Lab Safety & Training:
- Act as a member of the DMB safety group to support safety controls where necessary.
Knowledge of compliance standards for Biosafety Level 1 2 and 2 laboratories for working with radioactivity chemicals lasers and animals. - Assist the Operations Managers or other staff with communication of lab safety regulations and ensuring compliance with federal state city and MGB guidelines.
- Coordinates any corrective action items related to scheduled or unscheduled inspections by the building owners MGH Biosafety Radioactivity Safety the Boston Fire Department and other entities.
Publication Management:
- Supporting the faculty and respective lab authors with the PMCID processing to ensure publications are complying with the Open Access policy.
- Confirming copyrights include the addendum where necessary before being accepted
- Connecting with the faculty and authors to ensure the costs of the publications are within the allowed costs on federal funds and separated where necessary to unrestricted funds.
- Following up on papers that are in the works with collaborators and researchers who have left and need to follow suit with the processes above.
- Working on getting the publications submitted into and follow through with the PMCID process for journals who are published under NCBI Method B-D.
Grant/Post-Award Management:
- Supports team resolving outstanding financial issues to prepare funds to be closed out.
- Coordinates with the grants team and finance office to ensure accurate and timely invoice and financial reporting as needed.
- Collaborate closely with the Grants and Contracts team on policy and procedure development and implementation award compliance including risk assessments invoice disbursement and expense report compliance and monitoring activities.
Administrative:
- Collaborate with program staff on resolving different issues applying appropriate analysis and monitoring using sound judgment to make strategic recommendations.
- Collaborate with leadership on ongoing goal and objective tracking and development of Quarterly Operations Review reporting.
- Perform other activities and duties as assigned.
Qualifications:
- Bachelors degree in Related Field required
- 5 years experience in research compliance and research administration within laboratory operations and with sponsored research endeavors.
