Job Description

Administrative Coordinator Swain Family School of Science and Mathematics

The Citadel The Military College of South Carolina invites applications for an Administrative Coordinator to support the Dean of the Swain Family School of Science and Mathematics. This is a full-time staff position that plays a vital role in managing the Deans office and coordinating programs events and communications across the School.

Responsibilities

  • Manage the Deans office and serve as the first point of contact for faculty staff students alumni and visitors.
  • Plan promote and implement events for the School including the annual awards banquet advisory board meetings alumni gatherings lecture series student enrichment or social events and student success activities such as the Schools mentoring program.
  • Coordinate logistics with campus offices (Executive Events Public Safety Multimedia Services Facilities Aramark etc.) to ensure high-quality delivery.
  • Provide support to the Schools Advisory Council and faculty fundraising efforts including meeting preparation and research.
  • Assist in development and distribution of communications and marketing materials such as newsletters brochures flyers digital signage and website/social media updates in collaboration with the Office of Communications and Marketing.
  • Manage and reconcile budgets for multiple accounts including faculty grants travel purchasing reimbursements and reporting.
  • Supervise and train graduate assistants or student workers as assigned.
  • Prepare correspondence reports and maintain official files.
  • Other duties as assigned that advance the mission of the School and The Citadel which may at times include evenings or weekends.

Minimum Qualifications

  • High school diploma AND three (3) years of administrative experience OR a Bachelors degree with at least one (1) year of administrative experience.
  • Strong organizational skills professional demeanor and excellent interpersonal and communication skills.
  • Proficiency with Microsoft Office applications and willingness to learn website maintenance and design tools.
  • Ability to coordinate confidential and diverse administrative functions and work effectively with multiple stakeholders.
  • Ability to anticipate problems exercise discretion and perform tasks with limited supervision.

Preferred Qualifications

  • Experience in budget management event planning and communications.
  • Familiarity with website content management systems social media and marketing.
  • Experience in higher education or a comparable complex organization.
