Job Description

Order Management Coordinator (Japanese Speaking)

Are you a service-minded professional who enjoys supporting internal stakeholders Then we have a new opportunity for you!

This will be an opportunity to work in the Asia Pacific order management team and to be a member of the team executing our order management business processes for Japan. This role is based in either Laem Chabang or Bangkok in Thailand.

This role covers day-to-day tasks of ordermanagement:

  • Overseeing sorting and handling the incoming external and internal customers emails inquiries order status requests purchase orders invoices claims and other customer correspondence in a timely manner through Contact Center.
  • Responsible for entering Sales orders Service orders Service contracts to Valmets ERP system (Infor LN) without delay and according to Valmets rules agreed processes and policies making sure correct TAX codes are used.
  • Making sure the billable lines from Service orders and Service contracts are transferred to the Global Financial Operations team on time and without delay; responsible for making invoice corrections i.e. creating credit invoices and new invoices according to the customers requests and other situations.
  • Responsible for triggering revenue recognition on the Service order side making sure all the preconditions are met and that the needed amount of costs is collected to the Service order according to IFRS rules.
  • Ensuring checking the inventory approving and releasing the orders to the Warehousing when needed.

Were seeking a dynamic and detail-oriented professional who thrives in a fast-paced multi-layered global environment. The ideal candidate will have:

  • Experience in order management- and invoicing processes understanding in local / foreign tax- and finance related regulations.
  • Experience with ERP systems (e.g. Infor LN) and CRM systems.
  • Good spoken and written English and Japanese (recommend at least N2 level for Japanese) and excellent communication skills.
  • Good knowledge & common skills in IT (e.g. Microsoft Power Point Word Excel).
  • Strong self-driven and proactive mindset with problem-solving skills.
  • Result oriented mindset and self-accountability.
  • Willingness to learn and enjoy being exposed to new challenges with good cooperation and positive attitude.
  • Bachelors Degree in relevant field.
