To support this mission the Eastleigh Depot is seeking a Depot Admin Assistant to provide day-to-day administrative support assist with operational tasks and deliver excellent customer service.
Answer incoming telephone calls and direct enquiries professionally.
Use internal systems (e.g. InspHire) to create delivery and off-hire notes for hired equipment daily.
Prepare hire quotations using company software for both new and existing clients in coordination with the Depot Manager Assistant Depot Manager and Sales Manager.
Generate job sheets for engineers and other team members as required.
Raise purchase orders and maintain records accurately.
Provide administrative support to both office and yard-based staff.
Follow up with customers regarding outstanding quotes and maintain the quotation database (via systems such as InspHire and Goldmine).
Perform general administrative duties and respond flexibly to ad-hoc requests.
Act as a point of contact and support in the absence of the Depot or Assistant Depot Manager to ensure smooth depot operations.
Adhere to the organisations Health & Safety policies including maintaining a tidy and safe work environment.
Follow all ISO 9001:2015 quality procedures and contribute to continuous improvement initiatives.
Essential:
Strong organisational and communication skills
Ability to work effectively with colleagues across different departments
Good numeracy skills and attention to detail
Proficient in Microsoft Office and general IT use
A proactive and flexible approach to daily tasks
A customer-focused mindset and commercial awareness
Preferred:
Experience with industry-related systems such as InspHire Goldmine Access FocalPoint or other CRM/ERP platforms
Employment is subject to satisfactory references and DBS checks due to the nature of the business.
