The Information Systems & Technology (IST) Group delivers information systems technology and communications services guidance and strategic direction to Parliamentary Service the Office of the Clerk and partner parliamentary precinct agencies.

Within IST the Operations Team ensures our core IT platforms and infrastructure are well-managed secure and reliable delivering services to agreed standards. We collaborate across the organisation to support the technology that underpins New Zealands democracy.

M te tnga About the Role

Were looking for a detail-oriented and proactive Project Logistics Lead to join our IST Operations Team.

In this role youll provide logistical expertise to support project activities - including procurement ordering invoicing reporting financial tracking inductions communications and coordination of project resources. Youll also act as a key liaison with internal stakeholders and external service providers ensuring that projects run smoothly from planning through to delivery.

This is a hands-on role that will see you involved in both the detail and the bigger picture. Youll deliver small pieces of business-as-usual work individual project workstreams and simple projects - and over time this position will serve as a pathway to project management responsibilities.

Youll also contribute your logistical know-how to complex pieces of work across both the IST Operations and IST Customer Services teams helping to deliver changes to platforms and services that impact the wider Parliamentary community.

  • Manage the logistics aspects of projects from procurement to delivery ensuring alignment with budgets deadlines and objectives.
  • Deliver individual project workstreams and simple projects under guidance from project managers or team leads.
  • Provide accurate reporting on project budgets accruals and forecasts.
  • Track and report on programme and project progress risks and issues.
  • Coordinate with suppliers and external providers to support project delivery.
  • Ensure project documentation is maintained to IST standards.
  • Identify and implement process improvements to enhance project delivery and customer service.

  • Excellent communication skills including experience engaging with senior stakeholders.
  • Previous experience in a project coordination and/or financial and reporting administration role ideally in a technology environment.
  • Familiarity with project methodologies and controls (e.g. Agile PRINCE2 MSP PMP).
  • Strong organisational skills with the ability to manage logistics across multiple projects.
  • Sound understanding of procurement practices (public sector experience desirable).
  • Budget administration and financial reporting experience.
  • Strong customer service orientation and relationship management skills.
  • Ability to work independently with high self-motivation and adaptability.
