Job Description

POSITION: Coordinator Development
REPORTS TO: Vice President Development
ACHE is a hybrid work environment requiring 2 days per week in our Chicago loop office and as such only Chicago area based candidates will be considered.
PURPOSE
The purpose of this job is to serve our members customers and co-workers.
SUMMARY
This position is responsible for coordinating administrative support to the development specialist and vice president and is also responsible for administrative and clerical support functions for the Corporate Partnership Fund for Healthcare Leadership and Healthcare Consultants Forum within the Development Program.
ACHE is a hybrid work environment requiring 2 days per week in our Chicago loop office.
JOB FUNCTIONS
  1. Corporate Partnership Program Support Activities 50 % of Time
    1. Provides customer service support for corporate partners. Serves as contact person for registering corporate partners to ACHE events and tracking/maintaining registrations and statements for partners and sending weekly attendee lists.
    2. Coordinates the distribution of corporate partner advertising materials for internal/external review and approval.
    3. Coordinates schedules for corporate partner webinars with partner faculty and staff. This includes scheduling of dry run from set up to ensuring participants receive all relevant call-in and technical information. Provides technical and moderator support during live webinars.
    4. Gathers digital analytics quarterly and uses the information to update and disseminate quarterly reports for all partners.
    5. Prepares all invoices for partners including annual partnership fees and other fees as appropriate tracks receipt of payments and provides reports on payment status.
    6. Submits invoice requests to Finance coordinates invoice process and maintains invoice history.
    7. Prepares correspondence reports background research and other documents as requested.
    8. Maintains the marketing database for current and prospective corporate partners. Provides relevant reports as requested.
    9. Annually maintains prepares and transmits printed and electronic marketing materials to prospective corporate partner companies.
    10. Sends corporate event invitations via email to partners and compiles RSVPs for sponsored events.
    11. Coordinates material for Congress Clusters and the Corporate Forum including pre-meeting and registration materials on-site meeting materials and post-meeting reports. Provides on-site meeting support as required.
    12. Prepares a year-end sponsorship summary report for each Corporate Partner.
    13. Responsible for maintaining updates to the corporate partner landing pages.
    14. Submits approved corporate partner marketing materials to internal stakeholders for placement.
  2. Fund for Healthcare Leadership Support Activities 25% of Time
    1. Manages the internal systems for collecting and reporting donor contributions. This includes annual contributions pledges and invoicing donor recognition on-line and within publications.
    2. Assists the Vice President Development with volunteer management.
    3. Coordinates all logistics and document preparation for program activities for the Funds Voluntary Giving Committee.
    4. Prepares mailings and other communications to donors and prospective contributors.
    5. Serves as a resource to respond to and resolve any issues for corporate and individual donors.
    6. Using current CRM platform enters donations maintains donor database and creates management reports.
    7. Maintains donor acknowledgement and correspondence.
  3. Administrative Support Activities 20% of Time
    1. Promptly returns messages and responds to questions in the absence of the vice president and development specialist.
    2. Prepares materials and takes/distributes minutes for divisional and committee meetings.
    3. Establishes and maintains digital files and records.
    4. Schedules external and internal meetings and maintains Developments calendars.
    5. Professionally represents and supports ACHE at in-person events.
    6. Maintains and orders office supplies.
    7. Opens and distributes incoming mail and processes outgoing mail and shipments.
    8. Maintains Developments standard operating procedures and updates annually.
    9. Proofreads documents for clarity and accuracy.
    10. Provides administrative/clerical support as assigned.
  4. Miscellaneous Activities 5% of Time
    1. Completes other activities/projects as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS
  • Bachelors degree or equivalent experience required.
  • Previous administrative support experience preferred.
  • Strong technology skills and attention to detail required.
  • Proficiency in using the Microsoft Office Suite required.
  • Experience with CRM platforms including Salesforce preferred.
  • Organized and detail oriented with the ability to concurrently address multiple projects.
  • Professional presence and communication skills required.
  • Ability to interact with all levels professionally and appropriately.
  • Must have strong team and customer service orientation.
  • Must have strong written and verbal communication skills.
  • Must have strong critical thinking skills.
OTHER REQUIREMENTS
  • Must possess sound judgment discretion and a high degree of professionalism.
  • Must have regular and predictable attendance.

COMPENSATION
This is an exempt/salaried role paid on a bi-weekly basis. We anticipate filling this position in a salary range of $58000 - $68000 annually.
This salary range represents ACHEs good faith estimate of the possible compensation offer for this role at the time of posting. The compensation offered will take the following into consideration: education relevant experience certifications organizational budget and market estimates for the role.
